This position is responsible for the management and operation of the Testing Center, serving as the Site Administrator for various exam programs, including Accuplacer, ALEKS, Pearson VUE, and CLEP. This position oversees proprietary exam software, maintaining proctor/administer certifications, and establishing a safe and secure testing environment. It ensures compliance with testing standards. The Coordinator administers exams, troubleshoots technical issues, manages accommodations for students with disabilities, and adheres to ADA regulations.

The Coordinator reports to the Senior Director, Academic Services. Carroll Community College credit students are not eligible for employment in this position. Students cannot act as proctors in official testing centers due to strict guidelines ensuring unbiased administration.

Essential Job Functions:
  • Oversees the daily operations of the Testing Center, ensuring compliance with relevant regulations and testing standards set by Middle States, MHEC/MD legislation, FERPA, NCTA standards, MCTA standards, and College policies.
  • Monitors students during sign-in and checks identification. Maintains, administers, and proctors credit and non-credit make-up tests for instructors following faculty guidelines. Proctors students via security camera and by direct supervision including remote proctoring. Creates and maintains a secure testing environment. Prepares documentation if a testing violation occurs.
  • Utilizes project management software to track online Math course exams for Math faculty.
  • Supervises, recruits, trains, schedules, and evaluates full-time Testing Technician and part-time testing proctors. This includes scheduling and coordinating replacements when needed. Delegates tasks as appropriate. Ensures uniform administration of exams.
  • Administers reading, English, and math placement assessments. Complies with retest policies, using the Ellucian Colleague system when necessary. Downloads and imports Accuplacer, SAT, and ACT scores into Ellucian Colleague. Checks the imported scores for correct student information. Manually inputs scores into Colleague as necessary.
  • Directs all students who have completed placement testing on their next steps, disseminates retest information, and assists students in reaching their placement goals.
  • Collaborates with Advising & Admissions to streamline the placement assessment process. Collaborates with the Lead Writing Tutor & English department to refresh writing prompts when needed. Collaborates with the Assistant Director & Senior Director, Academic Services to streamline the onboarding process related to Math Placements.
  • Communicates testing policies, procedures, and deadlines to faculty, students, and staff. Answers inquiries about College policies and procedures, making appropriate referrals. Uses office technology to receive/return, scan, fax, mail, and email regarding tests/exams and other related matters.
  • Trains new faculty on using the Testing Center, including the Testing Center Cover sheets & the WConline scheduling software.
  • Develops, creates, & maintains spreadsheets that collect data and track Testing Center statistics. Analyzes data, tracks outcomes, & creates reports using this information. This includes data tracking to monitor outcomes of the ALEKS math placement assessment.
  • Collaborates with English faculty who want students to compose essays in a proctored setting without AI assistance. Collaborates with the Technology, Engineering, and Mathematics (TEM) faculty & staff to ensure adequate staffing for the demand of online math course test takers. Solely responsible for administering assessments for all online math courses. Works closely with math faculty to ensure students are completing tests within time limits.

    This includes offering students the option of a timer, a verbal warning, and filling out top portion of Exam Cover Page when needed.
  • Generates purchase requests via Unimarket. Tracks purchases and payments made in the Center. Uses this information to assist Senior Director, Academic Services in maintaining the budget.
  • Works closely with ADA Office & Faculty to support accommodation requests using computer software and other environment adjustments for individuals with disabilities. Remains incompliance with ADA regulations.
  • Troubleshoots technical issues when administering computerized exams. Contacts Information Technology, if needed. Coordinates with IT to keep the Center workstations up to date with the latest software.
  • Represents the Testing Center/Academic Services as a part of college wide committees and focus groups (ex, search committees, enrollment committees, special committees, etc.). Serves as a subject matter expert in academic placement and college readiness on college, statewide
