We’re currently hiring aSpecial Education Administrative Assistant to join our team and help us continue providing exceptional support to our students.

Qualifications:
  • Associate or Bachelor’s degree, or experience in lieu of degree
  • 3+ years of office experience
  • Experience in an educational setting and familiarity with special education systems
  • Strong interpersonal and organizational skills
  • Ability to maintain high level of professionalism and confidentiality
  • Proven ability to work accurately, to work well under stress, and to respond flexibly
  • Ability to work both independently and collaboratively
  • At least 3 year(s) of relevant experience preferred.
  • Citizenship, residency or work visa require.
Schedule & Compensation
  • 12 months/full time (40 hours)
  • Salary Range $70,000 – $78,000

Responsibilities
  • Support Education Director and Special Education Coordinator in operation of the Education department, including but not limited to processing IEPs, progress reports, transcripts, grade reports, MCAS score reports, and other education records, and scheduling team meetings
  • Manage the following IEP responsibilities:

    Create and maintain schedule for meetings by consulting with parents, district liaisons, and Education Director/Special Education Coordinator
  • Develop and maintain meeting schedule on master calendar
  • Before meeting, prepare IEP with cover and attendance pages and after meeting, make final edits
  • Maintain and track approved IEP signature pages
  • Maintain electronic file system of approved IEPs
  • Manage the following progress report responsibilities:

    Set up electronic and hard copy templates for teachers, as requested
  • Format/edit progress report goals (four/year)
  • Email final reports to families
  • Add new students to database and enter information for new and returning students in student database for IEP cycle, meeting dates, SPED/liaison assignment, grade assignments, SASID and LASID numbers and summer program enrollment
  • Assist with DESE compliance and other projects
  • File all educational materials in student master files
  • Provide support/backup for front office staff when indicated
  • Provide assistance regarding requests from Head Teachers regarding IEPs, Progress reports and meeting schedule
  • Maintain Addendum Binder of testing accommodations for staff
  • Develop and maintain a manual of responsibilities and procedures for this position
  • Remain up to date (daily checks) with all internal email and voicemail messages
  • Help maintain a safe, positive work and learning environment for all by adhering to the principles of conduct described in Gifford’s policy manuals and by treating all Gifford community members with fairness and respect
  • Demonstrate respect for diversity among our staff and student body and promote an atmosphere which values this diversity
  • Understand and represent Gifford’s culture and mission to students, families and others

Physical Requirements

Ability to participate in outdoor physical activities to include kneeling, stooping and lifting up to 25 pounds
