This full-time, benefited position provides administrative and technical support to the Finance Department, which consists of the Accounting, Treasurer/Tax Collector and Assessing divisions. The primary responsibilities include managing accounts payable processes, maintaining vendor records and information and data tracking. Duties are varied and require knowledge and understanding of department operations, policies and procedures; office and information management systems. Associates degree and four six (4-6) years of experience;

or an equivalent combination of education and experience. Hiring range $61,113 to $73,330 DOQ. (Full salary range max. $85,546).

Job Description

Essential Duties and Responsibilities

The essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

  • Manages accounts payable processes and account systems, including producing and reconciling weekly warrants.
  • Ensures vendor records are up to date and payments are made in a timely manner.
  • Assists in maintaining financial data for tracking and reporting of specific revenue and expenditures.
  • Reconciles and tracks Town utility spending.
  • May serve as back up to the Assistant Town Accountant for payroll processing.
  • Provides customer service backup at Finance Department as needed. Provides information to the public in person or by telephone.
  • Oversees Town property and casualty claims. Tracks and monitors existing and potential insurance claims, processes insurance claims reimbursements.
  • Provides administrative support to the Finance Director/Town Accountant as assigned.
  • Performs other similar or related duties as directed by the Finance Director to support other Town offices.
  • Serves as the back up to the other Finance Assistant when needed.
  • Performs related duties, as required.

Minimum Qualifications

Education and Experience

Associate’s Degree; four to six years of payroll, accounts payable, accounts receivable or related experience; or an equivalent combination of education and experience.

Additional Requirements

Ability to be bonded.

Knowledge, Ability and Skill

Knowledge of municipal finance practices and procedures and office procedures. Comprehension of database, spreadsheet, word processing, and finance software. Knowledge of the basic principles of payroll.

Ability to communicate effectively, verbally and in writing. Ability to maintain records and prepare reports. Ability to work effectively under time constraints to meet deadlines.

Skill and accuracy in working with numbers and detail. Excellent administrative, organizational, communication and customer service skills.
