Assistant Buyer

The Assistant Buyer plays a critical role in supporting the Purchasing Team within the ’47

Supply Chain department. This position is responsible for helping manage purchase order execution, vendor communication, and the accurate flow of product information through the supply chain. The Assistant Buyer ensures timely production, shipment visibility, and system accuracy to support inventory flow, customer requirements, and overall operational excellence.

Key Duties and Responsibilities Shipping & Work-in-Progress (WIP) Management
  • Collect and consolidate weekly WIP reports from all international vendors.
  • Review reports for accuracy and identify changes or risks related to production timelines, quantities, or factory readiness.
  • Communicate all updates, exceptions, and variances to the Buyer/Planners for review and approval.
  • Maintain accurate production status by importing x-factory date updates into ’47’s ERP system.
  • Support proactive follow-up with vendors to ensure on-time production and shipment execution.
Advanced Shipping Notice (ASN) Processing
  • Create, validate, and import ASNs from all vendors in accordance with internal requirements and customer compliance guidelines.
  • Ensure all distribution centers and third-party logistics providers (3PLs) receive accurate system receipts and complete documentation for all inbound shipments.
  • Partner with vendors, logistics teams, and warehouse operations to resolve ASN discrepancies or receipt issues.
Ticketing & Labeling Coordination
  • Partner with vendors to execute customer-specific ticketing, labeling, and compliance requirements.
  • Coordinate the distribution of customer-required special tickets, labels, and packaging materials to vendors.
  • Review, verify, and approve vendor-supplied ticket samples to ensure accuracy, brand standards, and customer compliance prior to production.
  • Track ticketing approvals and maintain clear documentation for audit and reference purposes.
Invoicing, Debit & Credit Notes
  • Review vendor invoices to confirm accuracy against purchase orders, receipts, and agreed-upon terms.
  • Identify and communicate discrepancies, shortages, overages, or pricing issues to the Buyer/Planners.
  • Obtain approval for all debit and credit notes and submit documentation to Accounts Payable for timely processing.
  • Maintain organized records to support financial accuracy and vendor reconciliation.
Cross-Functional & Administrative Support
  • Provide day-to-day administrative and operational support to Buyer/Planners as needed.
  • Partner cross-functionally with Planning, Logistics, Sales, Finance, and Distribution teams to support product flow and customer fulfillment.
  • Assist with special projects, reporting, and process improvements within the Purchasing department.
  • Perform additional duties and responsibilities assigned to support departmental and company objectives.
Qualifications & Skills
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Excellent written and verbal communication skills with the ability to interact professionally with vendors, sales representatives, and internal partners.
  • High attention to detail and strong follow-through skills.
  • Proficiency in Microsoft Excel, including the ability to work with spreadsheets, formulas, and data validation (ERP system experience a plus).
  • Self-motivated with a strong work ethic and willingness to take ownership of responsibilities.
  • Positive, team-oriented mindset with a demonstrated commitment to collaboration and customer satisfaction.
  • Ability to adapt to changing priorities and support continuous improvement initiatives.
