The Secretary to the Elementary Principal provides comprehensive administrative support to the school's Main Office through strong organizational, communication, and problem-solving skills. Serving as a key point of contact for staff, students, families and the public, this role requires excellent customer service and the ability to manage multiple priorities in a fast-paced environment. The position demands a high level of confidentiality and discretion when handling sensitive personnel and student information.
Responsibilities are broad and include budgeting and purchasing, managing student registration and withdrawal, preparing reports, overseeing management of student records, coordinating special events, facilitating substitute coverage, managing the Principal's calendar, scheduling meetings and contributing to a positive and welcoming school climate.

8:00am 4:00pm, excluding 1-hour unpaid lunch break (Periodic extra hours may be required which could extend the work day. Candidates must be willing/able to work overtime on short notice.)

Pay Rate: $31.68-$39.02 per hour (based on experience and qualifications)

Duties of the Position Include the following:
* Serve as secretary to the Principal and maintain strict confidentiality of student records and information;
* Maintain current knowledge of school procedures, policies, and office practices;
* Support administrative tasks, including document preparation, mailings, correspondence, and filing;
* Coordinate, schedule, and maintain calendar appointments for the Principal;
* Answer incoming calls, provide information, take messages, and route communications to appropriate staff;
* Monitor the school's budget and manage the purchases for the school including processing invoices for payment through MUNIS;
* Prepare, process, and maintain cumulative records, and manage student registrations and withdrawals;
* Prepare and distribute reports, announcements, newsletters, and communications as identified by the Principal;
* Assist with the preparation and submission of state and district reports and required data reporting;
* Monitor and facilitate daily substitute coverage;
* Operate office equipment including computers, copiers, scanners, fax machines, and related technology;
* Coordinate and schedule special events (e.g. field trips, assemblies, open house), assist with related forms;
* Serve as a liaison to all school groups;
* Prepare materials such as programs, certificates, and awards;
* Perform all other duties as assigned by the Principal.
Required Knowledge, Skills, and Abilities:
* Maintain a level of approachability by the administration, staff and community
* Communicate professionally and interact positively with stakeholders
* Promote good public relations through professional appearance, attitude, and conversation
* Excellent oral and written communication skills
* Ability to multi-task in an environment where there may be interruptions or re-prioritization of work
* Maintain confidentiality of information
* Ability to make independent judgments within areas of responsibility
* Attention to detail, timeliness, and accuracy in work and tasks
* Mastery of Google Workspace (Docs, Sheets, Slides) and/or Microsoft Office 365
* Technical expertise with platforms such as Power School and Parent Square
Qualifications:
* Associate's degree or higher preferred; or a high school diploma with a minimum of three (3) years of progressively responsible administrative or clerical experience;
* Demonstrated ability to communicate effectively in both spoken and written Standard English;
* Prior secretarial or administrative experience in a school setting preferred;
* Such alternatives to the above qualifications as the Superintendent and/or Board of Education may deem appropriate.
