Administrative Assistant
Weymouth, Temp-to-hire
The Administrative Assistant provides essential administrative, technical, and operational support to the General Manager (GM) and the broader management team. Serving as the central hub for company leadership, this role ensures efficient workflows, accurate data management, and seamless cross-departmental communication. The ideal candidate will leverage advanced digital tools and organizational systems to execute critical tasks, manage executive schedules, and protect confidential company information.
Essential Functions & Responsibilities:
- Executive Support: Provide high-level assistance to the GM by managing schedules, prioritizing daily tasks, screening phone calls, and handling confidential correspondence.
- Cross-Management Assistance: Support the broader management team by coordinating cross-departmental projects, tracking action items, and ensuring critical deadlines are met.
- Calendar & Scheduling: Manage complex calendars, schedule leadership meetings, arrange travel, and proactively resolve scheduling conflicts.
- Meeting Management: Prepare digital agendas and distribute accurate meeting minutes to the management team.
- Digital Correspondence: Draft, proofread, and manage executive communications to ensure professional and timely messaging, both internally and externally.
- Report Preparation: Collect and analyze data to produce management reports, graphs, and presentations using tools like Microsoft Excel, Word, and PowerPoint.
Secondary Responsibilities:
- Assist other departments as needed.
- Update and maintain the announcement board for company visitors.
- Perform additional duties as assigned to support daily operations.
Qualifications (Knowledge, Skills & Experience):
- Education: High school diploma required;
Associate's or Bachelor's degree in Business Administration (or a related field) preferred. - Experience: 3+ years in an administrative support role, ideally assisting executives or multiple managers.
- Organizational Expertise: Proven ability to juggle competing demands, manage complex calendars, and meet tight deadlines with accuracy.
- Technical Proficiency: Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) or Google Workspace, including the ability to build data-tracking formulas.
- Discretion: Demonstrated ability to maintain strict confidentiality regarding sensitive management and company information.
- Communication: Exceptional verbal and written communication skills suitable for executive-level interaction.
Additional Requirements:
- Training: General Safety and Quality System Awareness.
- Physical Requirements: Primarily a sedentary role requiring sitting for the majority of the day.
- Work Environment: Office and manufacturing environment, with potential exposure to heat, cold, and odors.
