We are looking for a highly organized, detail-driven Office Manager / Bookkeeper who can keep the front office, accounting workflow, training administration, and client communication moving smoothly. This person will play a key role in supporting our team, our clients, and the daily operations of a growing safety consulting and training company.
The right candidate is dependable, professional, highly accurate, comfortable wearing multiple hats, and experienced enough with Quick Books Online and Quick Books Payroll to manage accounting and payroll tasks with minimal supervision.
What You'll Do Bookkeeping, Payroll, and Accounting Support- Process weekly payroll for up to 20 employees working in multiple states.
- Manage payroll‑related coordination with Trivent's CPA, including state payroll tax matters.
- Assist with state sales tax coordination and reporting with Trivent's CPA.
- Create and send client invoices.
- Follow up on overdue invoices in a professional and consistent manner.
- Reconcile customer payments in Quick Books Online.
- Maintain accurate accounting records and assist with financial reporting as needed.
- Answer and direct phone calls.
- Greet visitors and create a professional first impression.
- Respond to emails, client inquiries, and general office communications.
- Direct callers, visitors, and inquiries to the appropriate team member.
- Maintain contact lists, files, calendars, and office records.
- Order office supplies and track office inventory.
- Run occasional errands related to office and training operations.
- Receive and coordinate deliveries for training classes.
- Coordinate company functions and client appreciation efforts, including holiday gifts.
- Manage and update the training calendar.
- Send training reminder emails and client communications.
- Enter training records accurately and timely.
- Print, cut, package, and ship training certifications and related materials.
- Assist with training class preparation, materials, and administrative follow-up.
- Schedule meetings, appointments, and internal coordination items.
- Prepare and distribute correspondence, including memos, letters, forms, and other documents.
- Take meeting minutes when needed.
- Assist with preparation of reports.
- Notarize documents as needed.
- Expert‑level experience with Quick Books Online.
- Expert‑level experience with Quick Books Payroll.
- Experience processing payroll for employees in multiple states.
- Strong understanding of invoicing, payment reconciliation, payroll workflows, and basic bookkeeping.
- Current certified notary status.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality with payroll, employee, financial, and client information.
- Strong organization and follow‑through.
- Professional phone, email, and front‑desk presence.
- Ability to manage competing priorities in a fast‑paced small‑business environment.
- Reliable attendance and punctuality.
- Experience working with a CPA or outside accounting firm.
- Experience with state payroll taxes and/or sales tax coordination.
- Experience supporting training, certification, construction, safety, or professional services operations.
- Experience managing calendars, records, client communication, and administrative workflows.
- Comfortable using Microsoft Office, Google Drive, email platforms, and general office technology.
