Part-Time Library Collections Administrative Assistant

Jefferson County Public Library is hiring an attentive and detail-oriented individual to join the Collections team as the Part-Time Library Collections Administrative Assistant. The Library Collections Administrative Assistant provides administrative support for the Collections unit. Hiring Range: $17.48 - $21.85 per hour.

Core Responsibilities:

  • Communicates with customers and staff over the phone or via email using high-level customer service skills. Provides information on library programs and activities. Maintains paper and electronic files. Participates in ongoing improvements and tests to the library's services, future modules, programs and procedures. Collects statistical information pertaining to core services.
  • Provides support for the public service functions of the library. Participates in performance of a wide variety of tasks to ensure the delivery of quality library services. Maintains records and tabulations, completes online forms, schedules resources and responds to internal emails and phone calls. Utilizes computerized data entry equipment and specialized or commercial programs to develop, enter, store and/or retrieve a variety of information, as requested or as otherwise necessary.

    Maintains a variety of computer and tangible files. Communicates policies to patrons as necessary.
  • Schedules library resources and facilitates the movement of equipment throughout the library system. Creates and maintains a calendar for sharing and shipping of library equipment. Labels and tracks library equipment and resources. Provides information and performs simple research activities. Ensures adherence to established policies, procedures and standards. Builds and maintains current knowledge of the library profession by utilizing online sources. Attends conferences and training sessions.

    Attends workshops to acquire new skills, while refining and maintaining others. Stays current on new trends and technologies. Participates in staff and division meetings. May participate on committees and/or task forces. Participates in the responsibility for the general appearance and safety of the location and library as a whole. Keeps current on library policies and procedures. Monitors adherence to library policies and procedures.
  • May assist in coordinating the work schedules of ancillary staff and volunteers.
  • Other duties and responsibilities as assigned.

Main Responsibilities:

  • Coordinate with external vendors managing orders, subscriptions, and vendor performance.
  • Collaborates with Library Location Staff and Library Service Center Staff to oversee the distribution of holiday materials.
  • Manage inventory of Stories to Go Kits.
  • Running reports in the ILS for Prospector resource-sharing system.
  • Order and manage office and general supplies for the building.
  • Recording and reporting meeting minutes.
  • Point of contact for printer related issues.

Required Qualifications:

  • High School Diploma or equivalent.
  • Minimum one year of public library experience.

Preferred Qualifications:

  • Experience providing administrative support to a leadership team.
  • Comprehensive experience with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).

This is a part-time position, scheduled for 20 hours per week.

This role is based at the Library Service Center (LSC), a non-public facing facility where staff support collection services and library operations behind the scenes.

Position must comply with laws governing patron privacy and confidentiality under CRS
24-90-119, and the Code of Ethics of the American Library Association, as well as ADA governing public access to space and technology.
