JOB GOAL

To support activities associated with School District Business Office

REGULAR PERFORMANCE DUTIES & RESPONSIBILITIES
  • Welcomes visitors and directs them to the appropriate business office staff.
  • Provides clerical support for the business office staff, as needed.
  • Processes incoming mail and directs it to the appropriate business office staff.
  • Assists in the preparation of correspondence, memoranda, financial reports, bids, schedules, files, purchase orders and requisitions, as needed.
  • Assists with the maintenance and administration of the student fee module as it relates to registration, food service and all other fees.
  • Assists with the process for ensuring the notification and collection of unpaid fees.
  • Arranges for the service and repair of all business office equipment.
  • Assists with the efficient administration of the Student Transportation Services Program.
  • Assists with the process of sending out transportation invoices to other school districts when out‑of‑district students are transported by District 68.
  • Assists with the review and approval of monthly vendor transportation invoices.
  • Administers and processes parent payments and authorizations for transportation services.
  • Assists with the publication and distribution of bus routes to parents and school staff.
  • Assists with the efficient administration of the Student Food Services Program.
  • Assists with the collection and processing of Fee Waiver Forms and Free Meal Applications.
  • Assists with the publication and distribution of menus and nutritional information to parents and school staff.
  • Assists with the periodic letting of Bids/RFPs, and subsequent selection and contracting of the selected and awarded Food Service Management Company.
  • Assists in ensuring the compliant operation of the food services program with all appropriate local, state and federal regulations, guidelines, policies and procedures.
  • Submits and updates the annual school breakfast, lunch and milk applications to ISBE.
  • Assists with the administration of the USDA School Commodities Food Program.
  • Assists in reviewing and approving the monthly food service vendor invoices.
  • Ensures the proper counting and claiming of meals under the NSLP and NSBP programs, and files monthly meal counts in the appropriate ISBE Claiming System (WINS).
  • Assists in setting up semi‑annual Health and Safety Inspections of food service facilities.
  • Conducts annual safety walk‑throughs of food service facilities per USDA guidelines.
  • Coordinates food, drink and SMART snacks for special district events and programs.
  • Coordinates the ordering and delivery of snacks for the Pre‑K program.
  • Works with School Secretaries to ensure that the Student Information System is accurate and up to date regarding both student transportation information and food services information.
  • Assists in the preparation of information and marketing materials in both English and Spanish for both transportation services and food services programs.
  • Assists in the development of both transportation services and food services budgets.
  • Updates and maintains the Business Office Web Site information.
  • Assists in preparing applications and paperwork, and coordinates treasury bonding insurance activities with insurance brokers and/or insurance companies.
  • Organizes and maintains business office files and records as required by state legislation.
  • Assists with the annual budget and levy publications as required by the IL School Code.
  • Assists with the publication of the Annual Statement of Affairs and all formal, sealed bids with a local newspaper, as required by the IL School Code.
