The City of Wheaton is seeking a detail-oriented and customer-focused professional to serve as our Part-Time Special Events Coordinator. This position is responsible for receiving, processing, and maintaining Special Event applications. The Coordinator reviews applications for completeness and compliance with City ordinances. The ideal candidate provides exceptional customer service and works collaboratively with internal City department stakeholders.
Essential Duties and ResponsibilitiesResponsibilities may include, but are not limited to:
- Receive, process and maintain submitted event applications and supporting documents.
- Coordinate application review, approval and permit issuance with city event review group.
- Ensure compliance with City ordinance for all applicable permitting.
- Seek guidance for interpretation of the City Ordinance when necessary.
- Maintain event documents and the City’s special event calendar.
- Provide general administrative assistance as requested and directed.
- Regularly work part-time during regular business hours of 8am-5pm, not to exceed 20 hours a week or 1000 hours a year or as directed by the Deputy Chief or Chief of Police.
- Take personal responsibility to provide exceptional customer service to applicants and internal City department stakeholders, including Finance, Building and Code, City Clerk, Planning and Zoning, Engineering, Fire and Public Works.
- Promote and maintain a positive City image, a constructive working environment, and foster pride and professionalism in the workplace and community.
- Adhere to all departmental and City policies.
- Perform other duties as required or assigned by the Deputy Chiefs or Chief of Police.
Education and Experience
- High School diploma and two(2) years' administrative experience. Municipal experience preferred.
- Background in community event planning preferred.
- The qualifications listed above are guidelines. Other combinations of education and experience, which could provide the necessary knowledge, skills, and abilities to perform this job, may be considered.
- Pass a pre-employment background and complete CJIS training.
Skills and Abilities
- Proficient knowledge and skills in Microsoft Office products, including Outlook, SharePoint, Excel and Word, record keeping, database management, and word processing; MUNIS ERP and Maint Star permitting software.
- Knowledge of Certificates of Insurance.
- Strong interpersonal communication skills for interaction with applicants, co-workers and the public.
- Strong organizational, critical thinking and solving skills.
- Effective and professional written and verbal communication skills.
- Ability to interpret City Codes and Ordinances
- Communicate effectively and exercise professional etiquette in all communications.
- Follow complex oral and written directions.
Physical Requirements
- Ability to sit, type, read, write, hear, and speak for extended periods.
- Ability to bend, kneel, and stoop.
- Ability to lift up to 10 pounds.
Starting pay rate is $20.54 per hour.
