GENERAL PURPOSEThis position assists the Development Manager with all day to day administrative aspects of development and marketing activities
REQUIRED EDUCATIONQUALIFICATIONSKNOWLEDGESKILLS AND ABILITIES
Minimum of an associate degree plus at least three 3 years experience in an administrative position preferably in a non for profit development office or marketing field Must be proficient in Microsoft Office Suite and possess an aptitude for learning additional software applications as needed Must be proficient at operating standard office equipment Must be able to make independent decisions and manage multiple tasks simultaneously with excellent organizational skills Must have excellent verbal written and interpersonal communication skills Knowledge of donor and event registration systems preferred
ESSENTIAL FUNCTIONSProcess donations and prepare acknowledgement letters and other correspondence in a timely manner
Maintain foundation corporation and individual donor files as changes occur
Conduct preliminary research on prospective corporation foundation and individual donors and fundraising events as requested
Coordinate mailings accurately and timely as needed
Maintain donor membership database event guest lists gather and prepare registration materials for benefits and fundraising events
Draft correspondence in a professional manner as requested
Maintain records and assist with the budget for line items specific to this job description and the foundations
Assist in creating monthly fundraising reports and other database reports as directed
Assist Development Manager in supporting foundation boards
Contribute data to meeting agendas and reports
Assist with the coordination of raffle licenses and reporting
Assist with responding to phone calls from and to donors and members with exceptional customer service in a timely manner
Assist with fundraising event planning logistics and implementation occasional evenings and weekends required
Provide a high quality of customer service in a professional manner to the internal customer that will facilitate team building and exceptional customer service to the external customer
Follow the Wheaton Park District policies procedures and guidelines
Proactively support the Districts Mission Vision and Values Maintain good safety awareness and follow all safety guidelines and procedures
Must have and maintain a valid drivers license with an acceptable driving record; CPRAED certified or obtain within three 3 months of employment
PHYSICAL DEMANDSMust be able to frequently remain in a stationary position at a deskcomputer using repetitive armhand movements; occasionally move about the building to access files and move items such as boxes of marketing supplies etc weighing up to 50 lbs
ENVIRONMENTAL DEMANDSMust be able to frequently work in an office environment exposed to moderate noise and lighting; and occasionally work at events held outdoors including driving to other facilities and will be exposed to all weather conditions
HOURSThis is a 24 hour per week in office position Availability on Wednesdays is required office hours are from 830am430pm There is some flexibility with the remaining scheduled days
