Job Description

The Senior Administrative Associate (Dual) provides a variety of direct administrative support functions to a site, office and/or client, including document processing, proofreading, expense reports, time entry, calendar and phone management, invoice entry, and opening client matters. The role also involves training, operational process improvements, and thought leadership to the wider team of Admins.

Schedule

Monday to Friday, 9:00 to 5:30pm EST

Key Responsibilities
  • Primarily responsible for administration of external CLE courses, including handling application process with state MCLE Board for individual course accreditation, attendance reporting and related fees.
  • Maintain course materials, attendance records and respond to accreditation requests.
  • Prepare CLE attendance and remote affirmation forms; administer and distribute CLE certificates to clients.
  • Prepare and submit individual course applications; handle client‑specific CLE inquiries.
  • Utilize appropriate logs and tracking software for all administrative support work; ensure job tickets are properly filled out before work.
  • Thoroughly assess job requests and ensure appropriate completion of job tasks throughout the lifecycle.
  • Communicate with team members, supervisor or client on job or deadline issues.
  • Meet contracted deadlines for accepting, completing, and delivering all work.
  • Troubleshoot complex software or hardware problems.
  • Answer telephone, emails, and place service calls when needed; interact with clients over phone, video or electronically.
  • Assist in developing training plans and process maps for the administrative operation; deliver direct support training plans to a team of Admins.
  • Serve as a subject matter expert and resource for junior direct support employees; train junior staff members as needed.
  • Prioritize and manage workflow; perform quality assurance on own work and work of others.
  • Help foster a proactive environment of continuous service enhancement and relationship building with the client.
  • Adhere to Williams Lea policies, in addition to client site policies; use equipment and supplies in a cost‑efficient manner.
Qualifications
  • Associate's Degree preferred.
  • Minimum 3 years administrative support experience in a professional organization (preferably legal or banking), or 2 years performing administrative duties for a Williams Lea client operation.
  • Advanced MS Office skills (Word, Excel, PowerPoint); strong keyboarding and typing skills.
  • Familiar with other software programs for administrative support.
  • Strong attention to detail; able to work on multiple projects simultaneously.
  • Good organizational skills and ability to meet deadlines.
  • Ability to handle sensitive and confidential documents; make independent decisions that conform to business needs and policy.
  • Ability to troubleshoot complex tasks; discern when escalation is required.
  • Maintain professional composure with immediate deadlines; work both independently and collaboratively.
  • Fast‑paced environment; communicate professionally in writing and verbally.
  • Proficiency in necessary equipment, technology, software and hardware.
  • Self‑motivated with a positive attitude; proven customer service skills to create, maintain and enhance customer relationships.
Compensation & Benefits

The rate of pay is $22–24 per hour. Total compensation may include overtime, shift differential, call‑in and/or standby pay.
