Position Title
Substitute Secretary – 26/27SY
Job OverviewAssist school administrators with clerical duties, including transcription, correspondence, record‑keeping, and financial transaction reporting. Reports to the Principal or Assistant Principal.
Key Responsibilities- Typing skills proficient at 50 words per minute.
- Type acceptable business letters, memos, reports, tabular material, and forms with speed and accuracy.
- Type from handwritten or edited rough‑draft material.
- Take and transcribe notes, correspondence, reports, notices, and recommendations.
- Maintain a regular filing system as well as a set of locked confidential files.
- File correspondence, invoices, cards, or other reports in a prescribed manner, depending upon departmental practice.
- Maintain a schedule of appointments and make arrangements for conferences and interviews.
- Properly use the telephone for incoming and outgoing calls and record messages.
- Maintain a complete and systematic set of records of all financial transactions.
- Record details of school financial transactions in appropriate journals and subsidiary ledgers from sources such as requisitions and payroll records.
- Prepare financial statements, income statements, and cost reports to reflect the department’s financial condition.
- Trace errors and record adjustments to correct charges and credits posted to incorrect amounts.
- Review and complete duplicating work orders.
- Operate various duplicating machines to reproduce handwritten or typewritten materials.
- Unpack orders, inspect for damage or defects, verify accuracy by reviewing packing slips, invoices, or purchase orders, and record discrepancies or damage.
- Demonstrate proficiency with computer operating system commands, word processing, computer filing, and retrieval of information.
- Use the West Virginia Educational Information System for maintenance of student records, processing purchase orders, and managing the Child Nutrition Program and associated programs.
- Display flexibility in learning new methods of accomplishing tasks.
- Follow county policy and procedures.
- Maintain and/or upgrade skills.
- Perform duties efficiently and productively.
- Promote positive communications.
- Maintain a professional appearance.
- Perform other duties and assume responsibilities as directed by the superintendent or immediate supervisor.
- High school diploma or equivalent.
- Varied office experience and/or training in typing and filing.
- Excellent communication skills.
- Computer skills are desired.
- Successful completion of the State Competency Test as set forth by the State Department of Education.
200–261 days per year. Salary and work year to be established by the Board of Education.
Salary and BenefitsSalary based on experience and education level per the CBOE salary schedule, plus a competitive benefits package equal to approximately 35% of direct compensation.
