Office Administrator/ Coordinator
Summary
Key support position with strong computer, communication, accounting and organizational responsibilities. Relieves Trust Officer(s) of daily routine administrative duties as well as handles trust accounting system maintenance issues and maintenance projects.
Essential FunctionBanking is a highly regulated industry and you will be expected to acquire and maintain a proficiency in the Bank's policies and procedures, and adhere to all laws, rules and regulations that are applicable to your conduct and the work you will be performing. You will also be expected to complete all assigned compliance training in a timely manner.
Essential Duties and Responsibilitiesinclude the following. Other duties may be assigned.
- Receives incoming phone calls, dealing with routine inquiries and recording details for use by Trust Officer in responding to client's needs.
- Take s detailed messages and assist s with research as needed for return phone call s from Trust Officer.
- Review s mail and separate s routine items.
- Handle s routine bill payment s and remittance set up for trust clients.
- Review s overdraft report and coordinate s maintenance with Trust Officer.
- Review s daily account activity and coordinate s questions with Trust Officer.
- Writes correspondence in coordination with Trust Officer.
- Completes trust accounting s system maintenance items.
- Review s daily tickler memo and related action items as needed.
- Coordinat s video conference facilities, physical conference rooms and other logistics related to client meetings as needed.
- Assists with alternate coverage when Trust Officer is out of the office.
- Completes specialized training for administrative tasks (Discretionary Request Form preparation, Adjustment Form preparation, Unique Asset Reviews).
- Cover s general receptionist function when necessary.

Computer Skills- Windows based computer skills.
- Proficiency with Microsoft Office word processing and spreadsheet use.
- Ability to build and work with Excel spreadsheets, including using formulas.

- Basic accounting background and reconciliation skills.
- Interpersonal skills with co-workers, supervisors and clients.
- Excellent verbal, written and presentation skills with the ability to define and solve problems.
- Professional demeanor in appearance, interpersonal relations, work ethic and attitude.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical SkillsMust possess basic math skills and understand basic math methodologies used in budgeting, accounting and various calculations. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning AbilityAbility to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Associate's Degree or equivalent work experience required.
Administrative Assistant experience preferred.
