Project Coordinator-Division of Waste Collection
Under administrative direction, the Project Coordinator administers division-wide projects and programs related to procurement, purchasing, employee training, travel, logistics, budget monitoring, and administrative operations for the Division of Waste Collection.
Under administrative direction, is responsible for planning and adminstering a specific project or program for a City department. Serves as the administrative supervisor on projects or programs. Plans, assigns, supervises, and reviews activities of subordinate personnel. Monitors the project or program's operating budget and assists in the annual preparation of same. Designs, implements, and monitors procedures utilized in program evaluation. Develops and secures commitments from other City departments and agencies to provide services to program participants.
Provides technical assistance or reviews program policies and procedures. Maintains current information and oversees the preparation of project status reports. Prepares financial and narrative reports and program applications. Communicates project/program status and information to municipal officials and/or public and private entities. May supervise employees assigned to the respective project. Performs other related duties as required.
Bachelor's Degree from an accredited four-year college or university in Business or Public Administration, Social Sciences, or closely related field preferred. Two (2) years of any equivalent combination of education, training and experience in program administration required. Must be able to lift and carry thirty (30) pounds. Valid State of Ohio Driver's License required.
Primary Duties:- Plans, coordinates, and monitors administrative projects and programs supporting the Division's operations.
- Coordinates procurement and purchasing activities, including preparing and tracking requisitions, purchase orders, vendor documentation, invoices, contracts, and related approvals.
- Coordinates management and employee training programs, including scheduling, registrations, facility arrangements, required documentation, travel accommodations, and training-related expenses.
- Communicates with training providers, vendors, City departments, and other stakeholders to ensure program requirements and deadlines are met.
- Monitors the Division's operating budget, overtime expenditures, purchases, training costs, travel expenses, and other financial activity to ensure spending remains within approved allocations.
- Reviews expenditures, identifies discrepancies, and recommends opportunities for cost savings, improved resource utilization, and operational efficiency.
- Designs, implements, and maintains procedures and tracking systems used to monitor purchasing, training, travel, overtime, budget activity, and project completion.
- Maintains current project and program information and oversees the preparation of status reports.
- Prepares financial reports, narrative reports, spreadsheets, correspondence, program documentation, and presentations for Division management.
- Reviews invoices and supporting documentation for accuracy, completeness, and compliance with City policies and procedures.
- Coordinates project and program activities with Division management, employees, vendors, training providers, and other City departments.
- Communicates project status, deadlines, budget information, and administrative requirements to the appropriate parties.
- Assists with the development and implementation of administrative policies and procedures.
- Provides technical and administrative assistance related to assigned programs and projects.
- May coordinate the work of employees assigned to specific projects or programs.
- Performs other related duties as required.
- Experience coordinating procurement, purchasing, budgeting, training, travel, logistics, or administrative programs.
- Experience monitoring operating budgets, expenditures, overtime, invoices, purchase orders, and vendor activity.
- Proficiency in Microsoft Excel, including creating and maintaining spreadsheets, formulas, reports, and tracking systems.
