Position OverviewWe're seeking a detail-oriented Office Administrator to support a busy collision and repair department. This role is ideal for someone who enjoys a balance of customer interaction, administrative work, and teamwork within a fast‑paced environment.
Approximately 50% of your time will involve direct customer interaction
, making professionalism and strong communication skills essential.
- Welcome customers, answer questions, and provide guidance on shop procedures and policies.
- Create, update, and close repair orders while keeping customers and insurance partners informed of vehicle status.
- Process and record payments from customers and insurance companies.
- Make outbound appointment reminder calls.
- Maintain organized paper and electronic filing systems for body shop documentation.
- Identify open receivables and coordinate with estimators to collect outstanding balances.
- Track and manage daily loaner/rental vehicle inventory and related documentation.
- Monitor staff credential requirements and ensure certifications remain current.
- Support the Body Shop Manager with additional administrative tasks as needed.
- High school diploma or GED.
- 1‑2 years of relevant administrative or customer service experience.
- Strong verbal and written communication skills.
- High attention to detail and accuracy.
- Proficiency with Microsoft Office, especially Excel
. - Professional appearance and demeanor.
- Valid driver s license with a generally clean driving record (required for occasional vehicle movement upon full‑time hire).
- Pay: $20‑24/hour, depending on experience
- Schedule: Monday‑Friday, 8:00 AM‑5:00 PM (1‑hour lunch)
- Work Setting: On‑site
- Type: Temp‑to‑hire (transition after ~4‑5 months)
