The Assistant Construction Project Coordinator is a full-time, on-site role based in White Bear Lake, MN. This position supports project managers and site supervisors in organizing and tracking residential construction projects from pre-construction through completion. Day-to-day responsibilities include assisting with schedules, coordinating subcontractors and vendors, maintaining project documentation, and updating internal systems with progress, change orders, and material deliveries. The role also involves helping monitor budgets, preparing reports, communicating with internal and external stakeholders, and ensuring that work aligns with quality, safety, and sustainability standards.
The Assistant Construction Project Coordinator will regularly collaborate with field teams, office staff, and design partners to support smooth project execution and timely completion.
- Assist with permit submittals
- Submitting bid package to trade partners and vendors, collecting bids, and awarding bids
- Creating construction schedules, monitor progress with trades, ensure work is on schedule and to be completed on time
- Scheduling trades and vendors
- Collecting and managing trade’s insurance certificate (GL and Workers’ comp), W9, and subcontractor agreement
- Working with interior designers with client selections, keeping selections within the allowance/ budget, ordering selections, and ensuring selections arrive on time for installations
- Complete construction specifications
- Assist with site inspections, quality control, and site cleanliness. Prepare progress reports
- Document progress and take photos of progress to present to architect(s) and client(s)
- Stick to deadlines (client bids, presentations, breaking ground, construction progress, completion date, etc…)
- Assist with punch lists for final walkthroughs and ensure the home is ready for turnkey
- Ability to budget, negotiate, and control costs
- Finding, selecting, and managing trades and vendors for upcoming projects
- Managing material returns and credits with vendors
- Managing equipment and materials needed for each project
- Order, schedule, check budgets and allowances, and confirm delivery - Managing, collecting, and processing invoices for construction Draws
- Managing construction Draws and coordinate submittal to the bank and title company
- Ensuring compliance with safety regulations
- Coordinating across entire project between architects, designers, engineers, and trade partners
- Basic capability to read and interpret construction drawings (house plans) and specifications
- Ensuring every client receives enough support and establish a healthy and client relationship
- Training new staff
- Keeping leadership staff in the loop
- Setting company goals and planning accordingly
- Travel throughout MN and WI; site visits with architects, designers, trade partners, clients, etc..
- Planning above job responsibilities if situations present themselves
- Experience- 3+ years experience in construction administration or office administration
