Job Summary
The Payroll Specialist is responsible for the accurate and timely processing of bi-weekly payroll using ADP Vantage for the organization and its subsidiaries. This role ensures compliance with federal, state, and company-specific payroll regulations while maintaining employee records and coordinating with HR and Accounting departments to resolve payroll-related issues.
Responsibilities- Process bi-weekly payroll using ADP Vantage, ensuring compliance with all applicable laws and regulations.
- Maintain and update employee files and master records within ADP.
- Monitor and review time entries in the Time & Attendance system for accuracy and compliance.
- Calculate special payments including retroactive payments, final payments, sick and vacation payouts, and taxable relocation.
- Reconcile payroll registers against source data to verify accuracy of all paychecks.
- Serve as a point of contact for payroll processing issues, errors, corrections, and stakeholder inquiries.
- Process payroll entries such as deduction changes, direct deposits, benefits, withholding, W4 updates, paid time off adjustments, new hires, and additional payments.
- Troubleshoot problems related to employee time entry, manager approvals, and site finance processing in collaboration with HR and Accounting.
- Proficiency in ADP Vantage payroll application and platform.
- Strong knowledge of payroll compliance procedures and relevant federal and state laws.
- Excellent analytical, problem-solving, and troubleshooting skills.
- Ability to maintain confidentiality and handle sensitive payroll information.
- Experience managing multiple tasks and systems simultaneously.
- Bachelor's degree preferred in Accounting, Business, Human Resources, Finance, or related field.
- Minimum of two years payroll experience using ADP Vantage Now.
- Advanced knowledge of SAP systems.
- Proficiency with Microsoft Office Suite.
- Strong customer service orientation and communication skills.
- Must ensure strict adherence to payroll deadlines and compliance requirements.
- Maintain confidentiality and discretion in handling sensitive payroll data.
- Work collaboratively with multiple departments to resolve payroll issues.
- Hybrid work arrangement based in White Plains, NY.
- 12-month contract position.
- Standard business hours with potential deadlines related to payroll processing cycles.
