Overview

A growing law firm is seeking a dependable and detail-oriented Office Administrator / Legal Billing Coordinator to support daily office operations and assist with billing and client communications. This is a hands-on role for someone who thrives in a fast-paced environment and can confidently manage multiple priorities with minimal supervision.

Key Responsibilities
  • Independently manage day-to-day office operations and resolve routine office matters
  • Assist with legal billing, invoicing, and collections
  • Interface with clients and attorneys regarding billing questions
  • Utilize web-based billing platforms (Cosmolex or similar preferred)
  • Prepare and maintain office forms, insurance documents, and internal records
  • Coordinate new employee onboarding
  • Communicate with IT support and outside vendors
  • Order office supplies and manage vendor relationships
  • Handle new and evolving tasks as they arise
Qualifications
  • Experience with web-based billing systems (Cosmolex preferred)
  • Proficiency in Microsoft Outlook, Excel, Word, and Adobe Acrobat
  • Strong written and verbal communication skills
  • Excellent data entry accuracy and attention to detail
  • Ability to multitask and prioritize in a deadline-driven environment
  • Self-starter who works well independently with limited oversight
  • Strong organizational skills and ability to stay ahead of daily demands
  • Professional demeanor when interacting with attorneys, staff, clients, and vendors
