Records Management Specialist
Location: White Plains, NY
Schedule: Monday–Friday, 5 days onsite
Employment Type: Long-Term Temporary Project
Project Duration: Expected through 2028
Pay: $25.00–$30.00/hour, W2, depending on experience
The Panther Group is seeking an experienced Records Management Specialist for a long-term onsite project in White Plains, NY.
This individual will serve as the primary records resource responsible for an end-to-end document review, scanning, retention, and purge initiative. The position requires someone who is comfortable independently managing physical records from initial review and document preparation through scanning, electronic filing, retention determination, and secure disposition.
The ideal candidate will have prior experience in records management, document control, information governance, legal records, or large-scale document imaging and disposition projects. Experience with in a law firm or other highly regulated environment is strongly preferred.
Key ResponsibilitiesManage an end-to-end records review and document purge project.
Review physical and electronic records to determine appropriate retention or disposition.
Identify, classify, inventory, and organize records for processing.
Prepare physical documents for scanning, including removing staples and organizing files.
Scan and accurately file documents within the appropriate electronic record structure.
Work with attorneys and internal stakeholders to determine what documentation must be retained and what may be approved for destruction.
Identify records subject to litigation holds, audits, investigations, or other restrictions and ensure they are excluded from destruction.
Prepare eligible records for secure shredding and disposition.
Maintain accurate records inventories, disposition logs, and supporting documentation.
Update records management systems and databases as documents are processed.
Maintain strict confidentiality when handling sensitive, proprietary, and legal information.
Track project progress and help ensure document review and purge activities remain on schedule.
Identify opportunities to improve records organization, storage, and document management processes.
3+ years of experience in records management, information governance, document control, document imaging, or a related field.
Hands-on experience managing physical and/or electronic records disposition projects.
Experience preparing documents for scanning, scanning records, organizing electronic files, and preparing approved records for destruction.
Understanding of records retention schedules and document lifecycle management.
Strong organizational skills and exceptional attention to detail.
Ability to independently manage a high-volume records project from beginning to end.
Strong written and verbal communication skills.
Proficiency with Microsoft Office and records/document management systems.
Ability to work onsite in White Plains, NY, five days per week.
Previous records management experience within a law firm or legal environment.
Experience with in financial services, healthcare, government, insurance, or another regulated industry.
Experience with enterprise content or electronic records management systems.
Certified Records Manager (CRM) or ARMA Information Governance Professional certification.
Knowledge of electronic records management and secure document disposition practices.
This is a long-term temporary project expected to continue through 2028 and offers an opportunity for an experienced records professional to take ownership of a significant document management and records disposition initiative.
Pay: $25.00–$30.00/hour, W2, depending on experience.
