Compliance Specialist (Alcohol Beverage)

Location:
4 days per week office in Westchester County, NY, a MUST - Fridays work remote
Salary: $70,000 - $90,000 plus 10% annual bonus

Position Summary
The company is seeking an experienced alcohol beverage compliance professional to independently manage licensing, registrations, COLAs, regulatory reporting, and compliance administration across federal and state requirements for wine and spirits operations.
This role requires a highly organized, detail-oriented, and proactive individual capable of managing multiple concurrent compliance work streams in a fast-paced environment. The ideal candidate must demonstrate strong operational ownership, accountability, critical thinking, sound judgment, and the ability to execute accurately with minimal oversight.
Essential Duties & Responsibilities
Licensing, Registrations & Regulatory Compliance
- Manage federal and state wholesale licensing processes, including renewals, amendments, ownership updates, and related regulatory filings
- Prepare, submit, track, and maintain all applicable state and federal permits, licenses, brand registrations, and renewals
- Prepare and submit TTB COLAs and maintain tracking for pending and approved submissions
- Conduct label review and approval support to ensure compliance with applicable federal and state requirements
- Coordinate NABCA CSC setup and maintenance where applicable
- Communicate and follow up with regulatory agencies regarding deficiencies, approvals, and compliance matters
- Maintain accurate compliance records, supporting documentation, and workflow tracking across all assigned markets and brands
Reporting, Systems & Workflow Management
- Manage monthly and periodic state reporting and filing administration
- Maintain Ship Compliant records and related compliance systems accurately and timely
- Maintain workflow organization, operational visibility, and deadline management across assigned work streams
- Utilize (or current company PM systems) for project tracking, prioritization, and workflow management
- Develop and maintain SOPs and recurring compliance process documentation
- Support departmental process improvement and operational efficiency initiatives
Operational Ownership & Cross-Functional Collaboration
- Demonstrate strong prioritization, responsiveness, accountability, and follow-through across multiple concurrent projects and deadlines
- Provide notary support for internal business documentation and compliance-related matters as needed
- Proactively communicate status updates, blockers, delays, risks, and outstanding items
- Research and resolve routine compliance matters independently before escalating
- Collaborate cross-functionally with Sales, Operations, Logistics, Finance, Marketing, and external regulatory agencies as needed
- Demonstrate sound judgment, critical thinking, and consistent operational execution
Qualifications
- Minimum 3–5+ years of alcohol beverage compliance experience strongly preferred
- Strong working knowledge of wine and spirits regulatory compliance requirements
- Experience with state licensing, registrations, TTB COLAs, Ship Compliant, and regulatory reporting
- Ability to obtain and maintain a New York Notary Public commission within 90 days of hire is required based on operational business needs
- Proven ability to independently manage multiple priorities and deadlines in a fast-paced operational environment
- Demonstrated ability to accurately interpret requests and execute with minimal oversight
- Strong organizational, analytical, and critical thinking skills
- Excellent written and verbal communication skills
- Strong attention to detail, accountability, and follow-through
- Experience utilizing workflow/project management systems preferred ( or similar)
- Proficiency in Microsoft Office Suite and compliance management systems

Work Environment & Schedule
This position follows a hybrid work schedule with a combination of in-office and remote workdays based on departmental and business needs. 4 days per week to start - may reduce to 3 days per week in future
In-office attendance is coordinated through the company's weekly hybrid schedule process managed internally by Administration. Additional in-office attendance may be required to support operational priorities, onboarding, training, meetings, audits, project implementation, or other business needs.
Due to the collaborative and operational nature of the role, consistent communication, responsiveness, availability during working hours, and timely follow-through are required regardless of work location.
