Position Summary

T&K Asphalt Services, Inc. is seeking a reliable, organized, and detail-oriented Parts Administrator to support the daily operations of the Company's fleet maintenance and shop departments. This position serves as a key administrative and inventory support role, working closely with the Operations Manager, Shop Foreman, and mechanics to ensure parts, supplies, and equipment are properly tracked, stocked, ordered, and maintained. The Parts Administrator is responsible for inventory management, data entry, purchasing support, receiving and organizing deliveries, maintaining accurate records, and helping ensure the shop remains clean, organized, and operational.

The ideal candidate will be highly organized, comfortable working in both office and shop environments, and able to manage multiple priorities in a fast-paced setting.

Essential Duties and Responsibilities
  • Assist with ordering parts, materials, and supplies for vehicles, equipment, and shop operations.
  • Monitor inventory levels and notify management when replenishment is required.
  • Receive parts and deliveries, verify order accuracy, and ensure items are properly labeled, entered into inventory systems, and stored in designated locations.
  • Maintain accurate inventory records through routine data entry and inventory audits.
  • Assist with tracking parts usage, equipment records, and purchasing information.
  • Enter and maintain information within inventory management and shop software systems.
  • Support the Operations Manager and Shop Foreman with administrative tasks related to fleet maintenance and equipment management.
  • Coordinate with vendors regarding orders, deliveries, pricing, and product availability.
  • Process and organize purchase orders, packing slips, invoices, and related documentation.
  • Maintain organized records and filing systems for parts, inventory, and shop operations.
  • Distribute incoming deliveries and ensure materials are routed to the appropriate personnel.
  • Keep parts rooms, storage areas, supply closets, and shop inventory locations clean, organized, and properly stocked.
  • Assist with general shop housekeeping and organization.
  • Perform periodic inventory counts and assist with monthly inventory audits.
  • Pick up parts and supplies from vendors as needed.
  • Assist with snow operations and snow removal activities during the winter season.
  • Perform other duties as assigned to support maintenance, fleet, and operational activities.
Qualifications, Knowledge, Skills & Abilities
  • Knowledge of automotive, truck, construction equipment, or heavy equipment parts is preferred.
  • Basic understanding of fleet maintenance, repair processes, or shop operations is helpful.
  • Strong organizational skills and attention to detail.
  • Ability to accurately perform data entry and maintain records.
  • Basic computer proficiency, including Microsoft Office applications and inventory management software.
  • Ability to communicate professionally with coworkers, vendors, and management.
  • Strong time management skills and ability to prioritize multiple tasks.
  • Ability to work independently while contributing as part of a team.
  • Willingness to learn company systems, inventory procedures, and fleet operations.
  • Valid driver's license required.
  • High school diploma or equivalent required.
  • OSHA training required or ability to obtain.
  • Massachusetts and Rhode Island Hoisting Licenses are a plus.
  • Ability to use/learn to use a forklift preferred.
Working Conditions / Physical Demands
  • Work is performed in both office and shop environments.
  • Regular exposure to construction equipment, trucks, trailers, maintenance facilities, and shop operations.
  • Frequent use of computers, telephones, printers, and other office equipment.
  • Ability to work indoors and outdoors in varying weather conditions when necessary.
  • Frequent standing, walking, bending, reaching, lifting, carrying, and handling of parts and materials.
  • Must be able to lift and move parts, supplies, and equipment weighing up to 50 pounds.
  • Must be able to safely work around moving vehicles, heavy equipment, and mechanical operations.
  • Exposure to moderate noise levels common in shop and maintenance environments.
  • Participation in snow operations may require extended hours, weekend work, and work during inclement weather conditions.
Employment Conditions
  • This position is subject to seasonal layoff periods based on workload, weather conditions, and business needs.
  • Overtime, weekend work, and flexible scheduling may be required based on operational demands.
  • Participation in winter snow operations is required.
  • Employment is contingent upon maintaining a valid driver's license and any required certifications.
