Basic Function

Under the direction of an administrator or manager, performs specialized project, administrative, and technical responsibilities within a student services area.

Representative Duties
  • Provides information and assistance through various modalities to students, staff, and the public related to the area of assignment; advises students of program requirements, eligibility, and/or status.
  • Schedule appointments for students and staff; utilizes software applications to provide program information and assistance; explains department/program policies and procedures.
  • Collaborates with internal District and college departments to coordinate communications and activities for a wide audience.
  • Creates, updates, and maintains forms, documents, records, files, and filing systems; ensures confidentiality of information per guidelines.
  • Updates department website pages and social media; disseminates information through newsletters, emails, videos, and posts.
  • Plans and facilitates program/department activities including meetings, workshops, trainings, orientations, and special events; creates and distributes advertising or informational materials.
  • Tracks and monitors department budget expenditures; works with vendors to obtain quotes; prepares requisitions, POs, and work orders.
  • Extracts and compiles data; prepares standard reports and correspondence.
  • Responds to information requests from District administration, management, faculty, students, and external agencies related to the area of assignment.
  • Guides and informs students of procedures, requirements, and restrictions; assists with form completion and accuracy checks.
  • Reviews and processes applications and forms; verifies records; requests transcripts; registers students and updates records; generates reports as needed.
  • Meet with students one-on-one to assist with requirements related to special programs; engages in outreach efforts.
  • Operates computers and related equipment; uses various programs and software to perform essential duties.
  • Trains and provides work direction to student assistants and temporary staff; may participate in the hiring process.
  • May transport students to special events in a college-issued vehicle, as needed.
  • Performs related duties that support the overall objective of the position.
  • Knowledge and Abilities

    Knowledge of:

    • District and college policies, procedures, and regulations related to the area of assignment.
    • California Education Code and Title V as it relates to the area of assignment.
    • FERPA and privacy considerations.
    • Budget, purchasing documents, and records management for the department.
    • Applicable laws, codes, regulations, and procedures related to the area of assignment.
    • Programs, processes, and resources on and off campus related to the area of assignment.
    • Admissions, programs, and services related to the area of assignment.
    • Grants and special funding sources related to District-wide and college programs.
    • Office administrative practices and procedures; sound business communication; and recordkeeping.
    • Microsoft Office Suite and basic computer software, databases, and ERP systems.

    Ability to:

    • Independently perform essential responsibilities under general guidance.
    • Read, understand, interpret, and apply policies and procedures; explain and implement them.
    • Learn and apply emerging technologies; work efficiently with students with special needs.
