Job Description
The Unit Records Coordinator performs moderately complex records administration work to maintain the integrity of individuals’ records. The role coordinates the implementation and maintenance of the Patient Record for each individual, ensuring compliance with The Joint Commission and CMS standards. Responsibilities include retrieving, copying, organizing and distributing records, conducting audits, tracking deficiencies, and providing training on record‑keeping systems. The position also supports disaster response, recovery, and continuity operations as needed.
EssentialJob Functions (EJF)
- Attend work regularly, following the assigned shift schedule; overtime or extended hours may be required.
- Provide guidance and oversight for the State Hospital Recordkeeping System.
- Update policies and procedures to meet State Hospital, Joint Commission, and CMS requirements.
- Process record requests and coordinate copying/preparation of records per guidelines.
- Conduct monthly audits of records (minimum five records) and develop corrective action plans.
- Track progress of corrective actions and prepare status reports for Executive Leadership.
- Support staff in record creation, maintenance, and system training.
- Perform special assignments as requested by the supervisor to advance State Hospital goals.
- Participate in disaster response and continuity of operations activities when required.
- Knowledge of office practices and administrative procedures.
- Proficiency with personal computers and Windows software (Word, Excel, PowerPoint, Access, Outlook).
- Ability to maintain filing systems and safeguard sensitive information.
- Independent judgment in making administrative and technical decisions.
- Capacity to develop and evaluate administrative procedures and interpret complex regulations.
- Ability to follow verbal and written instructions precisely.
- Clear written and verbal communication skills.
- Capability to establish and maintain effective working relationships with supervisors and coworkers.
At least two (2) years of experience in a professional support role.
Additional Requirements- Pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE).
- Compliance with HHSC immunization policy; mandatory vaccinations per level of contact with patients.
- Flexibility for overtime and extended hours.
- Minimum age: 18 years for state‑operated facilities; 21 years for Waco and Terrell Center for Youth applicants.
- Non‑telework eligible; telework policies may apply based on supervisor discretion.
