Position Summary:Rolling Plains Management Corporation is seeking applicants for the position of Intake Clerk at the Community Services office in Wichita Falls, Texas. This is a full-time hourly position within the Community Services Assistance Division. This position entails mainly tasks that are technical and diverse in nature and require the capacity of judgment, action, and ability to work with others to accomplish program goals and integration of program activities.
The Intake Clerk supports all telephone communication throughout Rolling Plains by answering and routing all incoming calls. A positive first impression and excellent customer service is provided. Messages and necessary information are communicated to all staff throughout the program. To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- Provide support functions for all departments simultaneously. Use flexibility required for a variety of assigned tasks.
- Greet and direct all guests at Rolling Plains office and answer questions to support communication among staff and other related parties.
- Gather all documents from clients and enter into the client tracking software system.
- Answer phone and greet customers and visitors respectfully and in a timely manner.
- Act as a message center for office staff by taking telephone messages.
- Maintain a list of staff that is out of the office to ensure accurate information is given to callers.
- Provides educational information to clients as well as referrals.
- Maintains inventory and organizes office supplies.
- Assure confidentiality of clients and co-workers.
- Assist in the coordination of operation and maintenance of all office equipment. Call for repair/ maintenance as needed.
- Maintains information on Providers and prepares/distributes information to all employees.
- Develop and/or maintain filing systems, assuring that all files are maintained according to policy.
- Use all basic office equipment in an efficient and effective manner.
- Establish, maintain and foster positive and harmonious working relationships.
- Must be focused on excellence and continuous improvement
- Prepare all necessary reports, correspondence, schedules, forms, leaflets, requisitions, etc. as requested.
- Copy documents for staff and clients as needed.
- Responsible for maintaining a tidy and presentable reception work area
- Ensure that children of all races, religions, family backgrounds and cultures are treated with respect and consideration.
- Arrive at work on time, ready to work scheduled hours.

Qualifications- High School Diploma/GED required.
- One year full-time work experience as receptionist or performing other clerical duties.
- Experience answering a multi-line phone system required.
- Excellent organizational skills required.
- Ability to communicate effectively with all levels of public, employees and management, both orally and in writing using correct business English, including spelling, grammar, and punctuation.
- Ability to balance a variety of duties, prioritized and meet deadlines required.
