Position TitleAccounting Assistant (Full‑time, In‑person)
Job SummaryThe Department of Psychiatry and Behavioral Sciences seeks an Accounting Assistant to provide central accounting and administrative support. The primary responsibilities include managing accounts payable, expense reimbursement, and vendor interactions for the department. The role ensures adequate budget availability, appropriate transaction processing in financial and departmental systems, and timely payment of vendor invoices. It also processes travel and expense reimbursements for department staff and faculty.
Key Responsibilities- Purchase and process departmental invoices and purchase orders across multiple financial systems.
- Manage all vendor orders, deliveries, and payments, including use of the Business Procurement Card (BPC) and adherence to its policies.
- Coordinate purchase approvals, budget availability, and fund encumbrance for state, KU Endowment (KUEA), and grant budgets.
- Maintain complete documentation for each purchase until closure.
- Perform accounts payable duties, including preparation of Check Requests and Purchase Orders.
- Reconcile monthly reports for state, KUEA, and grant funds; provide reconciled financial reports to the Director of Finance & Administration.
- Prepare quarterly grant funding status reports for Primary Investigator(s) and other required grant fiscal reports per funder policy.
- Manage faculty travel reimbursements, entering Spend Authorizations in Workday and processing Expense Reports with required documentation.
- Ensure travel policies and procedures comply with State of Kansas, KUMC Research Institute, and KUEA regulations.
- Provide administrative support to the Director of Department Finance, Administration, and the Department Chair, including backup educational programming support.
- Six years of general accounting or finance experience (education may substitute for experience on a year‑for‑year basis).
- Experience in accounts payable and Microsoft Office, including Excel formulas and pivot tables.
- Strong communication, customer service, and detail‑oriented skills.
- Bachelor’s degree in accounting, finance, business administration, or a related field.
- Experience in healthcare and/or an academic setting.
- Experience with grant‑related financial activities and travel reimbursement.
- Familiarity with Workday financial management software, account reconciliation, and fund accounting.
- Experience with managerial accounting reports, expense tracking, and customer service.

CompensationPay Range: $24.71 – $35.82 per hour (minimum $24.71, midpoint $30.29, maximum $35.82). Compensation determined by market data and relevant factors such as education, experience, and qualifications.
