Job Summary

Landmark Commercial Real Estate is seeking a punctual, friendly, outgoing, and detail‑oriented receptionist to keep the office running smoothly, as the first point of contact for clients, visitors, and our team. This role provides daily support to both the Real Estate Team and the Property Management Team.

What you’ll do Front desk & phones
  • Warmly answer and route incoming calls; ensure leads get to the right person quickly.
  • Learn and manage the phone system backend; update voice greetings as needed.
  • Document calls and messages accurately and promptly.
  • Greet visitors, manage sign‑ins, and maintain a welcoming lobby.
Office operations
  • Maintain office supplies (postage, coffee, lounge/breakroom items) and place orders as needed.
  • Keep copy/postage machines supplied; request service when needed.
  • Process outgoing mail and sort incoming mail.
  • Support daily rhythms so the coffee is full

  • Track and file insurance certificates for vendors.
  • Open and close the office and company lounge each day.
Admin & team support (Real Estate + Property Management)
  • Create templates and labels; print envelopes.
  • Use Microsoft Office (Word, Excel, Outlook) and light Adobe applications.
  • Relay relevant news/updates to the team; track simple requests and follow‑ups.
  • Work independently and with others
    ; multitask with strong attention to detail and problem‑solving

What you’ll bring
  • Prior receptionist/administrative experience is a plus.
  • Confidence with Microsoft Office and basic Adobe tools.
  • Experience creating templates, labels, and performing mail merges.
  • Clear, courteous communication and a service mindset.
  • Organization, reliability, and the ability to juggle multiple priorities.
  • Ability to work under the direction of many people and establish priorities.
Bonus skills
  • Familiarity with App Folio or similar property‑management systems.
  • Familiarity with Adobe Creative Cloud programs.
