Position Summary:
We are seeking a Project Management Administrative Assistant to provide comprehensive administrative and organizational support to project managers, project teams, and company leadership. This role helps ensure projects stay organized, deadlines are tracked, documentation is maintained, and communication flows smoothly between internal teams, clients, subcontractors, and vendors. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities to support the successful execution of projects from initiation through completion.
Key Responsibilities:
- Provide administrative support to Project Managers and project teams.
- Maintain project files, contracts, drawings, schedules, and other project documentation.
- Assist with preparing, organizing, and distributing project-related documents.
- Maintain project logs, including change orders, sub-contracts, change events, submittals, and meeting notes.
- Process and track purchase orders, invoices, and project-related expenses.
- Assist with subcontractor and vendor communication.
- Maintain accurate records of contracts, insurance certificates, and compliance documents.
- Support project closeout activities including compiling warranties, manuals, and final documentation.
- Coordinate communication between field teams, project managers, clients, and office staff.
- Assist with special projects and administrative tasks as needed.
Qualifications:
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Ability to meet deadlines and follow through on assignments
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Ability to work independently while supporting a collaborative team environment
Preferred Qualifications:
- Associate degree or equivalent work experience
- 2+ years of administrative, construction, or project coordination experience
- Knowledge of Procore is a plus
