Administrative Specialist - COUNTY MANAGER

Provides direct assistance to the County Manager’s Office and performs a variety of administrative assignments. Coordinates, monitors, and participates in the clerical operations of a departmental office and will serve as the primary administrator for the policy review process and the Commission meeting agenda process. Receives citizens’ inquiries and provides information and direction regarding County services. This position at times works with sensitive information and must maintain a high level of confidentiality.

Serves as the primary administrator for the Commission meeting agenda process

  • Assists department contacts and liaisons with agenda item creation and process in the agenda software program.
  • Meets with the County Manager regularly to discuss potential agenda items and planning for upcoming Commission meetings
  • Serves as primary contact for proclamation requests and coordinates the Commissioner review process
  • Makes adjustments in the agenda software as necessary to reflect staff or policy changes
  • Prepares and distributes printed copies of the agenda
  • Coordinates the scheduling of clergy to give the invocations at meetings
  • Processes and reviews grant applications and contracts through electronic management system for Manager’s approval

Serves as the primary administrator for the policy review process

  • Assists departments with organization policy item review, creation, and process
  • Meets with the Assistant County Managers to discuss prospective policy items
  • Manages meeting schedule and meetings
  • Processes and reviews policies for submission to BoCC agenda
  • Archival and records management of all policies
  • Research policy and organizational trends

Performs various purchasing functions for the Department

  • Orders supplies and equipment through appropriate County vendors
  • Prepares and processes purchase orders
  • Verifies receipt of orders
  • Pays for orders through appropriate means in accordance with Purchasing guidelines
  • Initiates service calls for repairs and maintenance of office machines

Prepares and maintains departmental personnel records and information (as requested by each Manager)

  • Completes all paperwork necessary for Human Resources including hiring actions, employment actions, and E-Timesheet (payroll)

Office assistance for the County Manager’s Office

  • Provide administrative support to the County Manager and others are requested
  • Responsible for staff work including varied assignments including but not limited to:
  • Manager Staff Meeting Agenda and Details/Print Manager Notes
  • Phone support for Manager’s Office, Counselor’s Office, and backup for Commission Office
  • Courteous, prompt, and professional responses and interactions with citizens, all staff, and co-workers both on the phone and in person
  • Compose correspondence, makes arrangements for conferences, scheduling meetings for department staff and coordinates meeting room reservations
  • Other duties as assigned

Minimum Qualifications:

High school diploma, GED, or equivalent Or Two years of responsible secretarial experience or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
