Overview

The Cancer Center of Kansas (CCK) is seeking a full‑time, on‑site Scheduler to join our team in our Wichita, KS offices. The typical work week is Monday through Friday, 8:30 AM – 5:00 PM with no major holidays, no on‑call and no weekends. As part of the US Oncology Network and with over 40 years of being established in Kansas, CCK delivers quality, personalized cancer care to communities across the state.

What does this position entail?

Under general supervision, this role is responsible for scheduling and managing patient orders and appointments in an efficient and timely manner. It includes answering all incoming calls, messages and patient‑facing questions or scheduling needs during clinic, prioritizing tasks, acting as the primary point of contact and liaison between patients and medical staff, and supporting the US Oncology Compliance Program.

Responsibilities
  • Answers all incoming calls and messages, assesses priority, and responds appropriately.
  • Obtains and communicates messages accurately and in a timely manner.
  • Efficiently schedules patients in the computer system according to provider and office guidelines.
  • Ensures patient accounts are up‑to‑date with accurate demographics and records.
  • Cancels or reschedules appointments based on physician schedule changes or patient notices and notifies relevant clinic personnel.
  • Maintains the assigned provider or resource‑specific orders queue accurately and efficiently.
  • Communicates physician schedule changes to appropriate coworkers.
  • Demonstrates understanding of patient confidentiality to protect patients and the clinic/practice.
  • Follows policies and procedures of all relevant departments and workflows.
  • Covers other front office functions as requested.
  • Prepares correspondence, memos, forms, and other documents as requested by supervisor or medical staff.
  • Coordinates internally to gather necessary pre‑certifications or authorizations as required.
  • Communicates with patients about scheduled items, including potential prep work needed, and gathers required patient information.
  • May coordinate to schedule external appointments with hospitals, clinics and organizations for established patients.
  • Schedules and completes paperwork associated with referrals sent by medical staff.
  • Has a basic understanding of medical terminology related to tests and surgical procedures, including coding.
  • Appropriately maintains patient accounts in the EMR and PMS systems.
  • Collaborates with healthcare providers to optimize appointment availability and patient flow.
  • Remains current on all compliance requirements and demonstrates knowledge of confidentiality, state, federal and HIPAA laws and guidelines.
  • Attends required meetings.
  • Ensures all applicable policies and procedures of the company and Network are followed.
  • Performs other tasks as reasonably requested by a provider or member of the Management Team.

Qualifications Basic Work Requirements
  • Ability to work in a fast‑paced environment for long periods while seated at a monitor.
  • Perform basic computer functions and be familiar with Microsoft Office.
  • Enter data into electronic systems while maintaining integrity and accuracy.
  • Type a minimum of 40 wpm (preferred).
  • Operate a multiline phone system with appropriate etiquette.
  • Knowledge of medical terminology and familiarity with ICD‑10 codes (preferred).
  • Strong customer service skills and professionalism.
Education / Training
  • High school diploma or equivalent (required).
  • Minimum three years office experience, preferably in a medical office setting.
Experience
  • Excellent communication skills, written and verbal; proficiency in Microsoft Office required.
  • Experience with EMR and/or PMS systems is a plus.
