Position Summary
The Human Resources Administrative Assistant performs a wide variety of administrative, clerical and organizational tasks, ensuring the smooth functioning of the Human Resources Department. This work calls for frequent use of good judgment regarding policies, procedures, and respect for the confidentiality of information handled.
Essential Duties and Responsibilities- HRIS Management & Automation:
Maintain the human resources database and records by entering data from Employee Status Change forms; ensure data integrity of HRIS, prepare ad hoc reports, and audit systems to ensure compliance. - Maintain human resources materials, including personnel files, new hire forms, I-9s, W-4s, manuals, and other documents to ensure files are current, confidential, complete, and compliant with company and government regulations and deadlines.
- Conduct new employee orientation.
- Provide administrative support for benefits (health, vision, dental, Life, etc.).
- Assist with leave of absence and Workers Comp administration.
- Support Training and Development programs and events by scheduling and setting up conference rooms and managing vendors as needed.
- Support the Human Resources Manager in all phases of the recruitment process, including scheduling interviews and greeting job applicants.
- Explore new recruitment channels and give recommendations to the HR team.
- Assist with recruiting activities: post jobs, source and review resumes, conduct initial phone screens, schedule interviews, administer evaluations, and manage candidate information.
- Coordinate employee programs and events.
- Understand company policies and procedures and provide guidance to employees to assist them with HR-related needs.
- Build and maintain collaborative working relationships with employees, managers, and candidates.
- Manage time effectively and handle a variety of tasks in an ever-changing environment. Promote company values, culture, and vision throughout the organization.
- Communicate with all levels of current and former employees regarding all payroll-related functions.
- Perform other related and assigned duties as necessary.
- Assist the Controller with accounts receivable (AR) and accounts payable (AP).
