The Payroll Specialist is responsible for executing accurate and timely payroll processing while supporting benefits administration, compliance audits, and ongoing process improvements. This role plays an integral part in payroll system operations and conversions, ensuring compliance across multi-state and multi-country jurisdictions. Serving as an extension of the HR team, the Payroll Specialist brings technical expertise in payroll operations, attention to detail, and a strong commitment to delivering exceptional service to employees throughout the full payroll lifecycle.
Dutiesand Responsibilities
- Serve in a part-time, non-exempt capacity, working approximately 20 hours per week
- Process biweekly multi-state and multi-country payroll runs in designated payroll system(s)
- Verify wage and overtime payments; calculate and record payroll deductions
- Process paycheck advances, bonus runs, commissions, fringe benefit reporting, and separation payments
- Review timesheets and time off requests; resolve discrepancies
- Ensure tax setups remain compliant and updated based on employee changes
- Conduct monthly and quarterly audits (401(k), benefits, payroll, etc.)
- Communicate with various departments to streamline payroll information collection
- Implement process improvements and technologies to enhance payroll efficiency
- Assist employees with benefits enrollment and related requests
- Coordinate onboarding for new employees
- Assign electronic checklists, tasks, and training modules
- Complete employment verifications
- Track and maintain employee demographic, retention, and attrition data
- Support system conversions and payroll-related implementations
- Utilize systems including, but not limited to, ADP, Paychex, Unanet, and BambooHR
- Perform other duties as assigned
- 3–8 years of payroll experience in a dedicated payroll function, including multi-state and multi-jurisdiction processing
- Bachelor’s degree in human resources, accounting, finance, or related field preferred
- Knowledge of automated financial and accounting reporting systems
- Experience with Paychex preferred
- Strong computer and technical skills, including Excel and data analysis
- Excellent accuracy and attention to detail
- Ability to work independently with minimal supervision
- Strong organizational, analytical, and problem‑solving skills
- Eligible to obtain a U.S. Security Clearance – U.S. Citizenship required.
- Employees may be called upon to participate in in‑person meetings, trainings, or company functions at Knowmadics offices or other designated locations. Travel in support of business operations may also be required, and employees are expected to comply with these obligations as part of their position.
