How You’ll Make an ImpactAs a Benefits Administration Specialist, you'll collaborate with a diverse group of passionate individuals to deliver sustainable solutions to advance mobility, improve wellbeing, and enhance modern life. You will be responsible for administering and supporting employee leave of absence programs, including FMLA, ADA, PTO, sick leave, short- and long-term disability, state-sponsored leave programs, workers’ compensation coordination, and other company-sponsored leave of absence benefits.
This role serves as a key point of contact for employees, HR, Occupational Health, Payroll, and vendors, ensuring accurate case management, regulatory compliance, data integrity, and positive employee experiences. In this role, you will:
- Administer employee leave of absence programs, including FMLA, ADA, PTO, sick leave, short and long-term disability, state-sponsored leave, bereavement, jury duty, and workers’ compensation coordination.
- Review, process, and track leave of absence requests submitted by employees, HR, and Occupational Health using the leave administration system (Absence Tracker) and timekeeping system (Workday).
- Maintain accurate, complete, and confidential leave records in Workday Case Management and related systems.
- Prepare, distribute, and manage leave-related documentation, including notices, letters, forms, and claim packets.
- Perform daily processing and data reconciliation between Workday, Absence Tracker, and payroll systems.
- Conduct regular system audits, payroll reviews, and data quality checks to ensure accuracy and compliance.
- Update employee eligibility for leave of absence benefits based on employment changes and data-related transactions.
- Generate standard and ad hoc reports for HR and leadership related to leave of absence usage, trends, and compliance.
- Monitor vendor performance and system integrations related to leave of absence programs and elevate issues as needed.
- Serve as a primary point of contact for employees and HR regarding leave of absence policies, procedures, and benefit entitlements.
- Provide training and guidance to HR Business Partners, Occupational Health, and employees on leave of absence programs and systems.
- Ensure compliance with federal, state, and local leave laws, maintain HIPAA and data privacy standards, and support continuous improvement initiatives.
- Perform other duties as assigned.
- Bachelor’s degree in Human Resources, Business Administration, related field, or equivalent experience.
- Minimum 3 years of professional level HR experience, preferably in leave management or benefits administration.
- Experience working in a shared services/customer service environment is preferred.
- Working knowledge of federal, state, and local leave laws, including FMLA and ADA.
- Experience using HRIS and absence management systems (Workday experience strongly preferred).
- Strong analytical skills with the ability to perform audits, reporting, and data reconciliation.
- Excellent written, verbal, and interpersonal communication skills, with the ability to handle confidential information with discretion and integrity.
- Strong organizational, time management, and critical‑thinking skills; ability to manage multiple priorities in a fast‑paced environment.
- High attention to detail and commitment to accuracy.
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint).
- Ability to work independently as well as collaboratively within a team environment.
