Position: Contract Billings Coordinator

Contract Billings Coordinator

Contract Billings Coordinator will help prepare the trade partners' pay applications for processing. This position will support project teams to ensure accurate delivery of payment, handle general subcontractor payment inquiries, and maintain positive relationships with internal and external clients.

Key Role Responsibilities
  • Monitors trade partner compliance codes and communicates with trade partners on inquiries for required paperwork, payment status, and other lien and affidavit matters.
  • Selects and mails trade partner checks for all assigned projects when paid by the owner.
  • Tracks trade partner and supplier lien waivers and affidavits; prepares vouchers for self‑perform jobs.
  • Meets client commitments; recognizes and acts upon service opportunities.
  • Ensures that documentation is tailored to expected readers and users.
  • Regularly reassesses priorities and competing demands, adjusting time and resource allocation to increase efficiency and effectiveness.
  • Adapts to change, welcomes new ideas, takes on new responsibilities, and handles pressure to meet changing needs.

  • Ability to perform work accurately and completely, and in a timely manner.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office.
  • Ability to quickly and effectively solve complex problems.

Education & Experience
  • Associate’s degree (Preferred); equivalent relevant experience will be considered.
  • 2+ years of administrative support and/or accounts payable experience (Preferred).
Working Environment
  • Must be able to lift up to 10 pounds.
  • Typical travel is not required.
  • Normal office environment.
  • Frequent activity: sitting, viewing computer screen.
  • Occasional activity: standing, walking, reaching above shoulder.
