Trust Department Assistant

Assist in administrative duties in the Trust Department including answering the phone, generating and reviewing reports, data processing, and balancing. Services provided in the Trust Department include managing trusts, investment accounts, IRAs, retirement plans, estates, mineral management, and farm management.

Responsibilities:
  • Process transactions in the department, which include buying and selling assets such as stocks, mutual funds, and CDs, and posting dividends and interest generated by assets.
  • Process mineral and farm management transactions which include posting oil income and cash rent farm income.
  • Process payments to our clients and pay invoices by ACH direct deposit and mailing checks.
  • Ensure documents get to our electronic document storage system for accounts timely and accurately.
  • Assist in calculating net income distributions for trusts.
  • Answer phone calls and greet clients.
  • Generate and review miscellaneous forms.
  • Reconcile Trust Department asset holdings with our custodians for accuracy.
  • Process proxy voting for stocks held.
  • Assist other Trust Department staff as needed.
  • Cross train with other Trust Department Assistants.
  • Assist in mailing statements and documents to clients.
  • Complete initial and annual training as required.
  • Perform all other duties as assigned.
Qualifications:
  • Experience with banking, trusts, investing, mineral interests, retirement plans, or farming would be a plus.
  • Strong attention to detail is required.
  • Good written and verbal communication skills are necessary.
  • Organizational skills and the ability to prioritize meeting deadlines is important.
  • The ability to work together as a team in the Trust Department is required.
Special Requirements :
  • Confidentiality and tactfulness in dealing with bank and customer information is mandatory.
  • Ability to conduct relationships with co-workers, customers, the community, and the overall public in a manner which will enhance the bank's image and comprehensive marketing effort.
  • Will be called upon from time to time to participate with community organizations and projects.
