Administrative Specialist – $19.25–$21.65/hr –Willmar, MN

We are seeking a detail-oriented Administrative Coordinator to support our office operations. The ideal candidate will have strong office management and communication skills, along with proficiency in Quick Books Online and Microsoft products. The role includes handling administrative tasks, managing schedules, and providing excellent customer service for smooth daily operations. Experience with multi-line VoIP phone systems is preferred.

Schedule
  • Monday–Friday
  • 32-40 hours per week
  • Start time: 8:00 a.m.
Responsibilities
  • Manage front desk duties, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Coordinate calendar management and schedule appointments for staff and clients
  • Perform data entry, monthly audits, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office for report generation and correspondence
  • Handle customer support inquiries via phone, email, or in person, ensuring excellent service delivery
  • Support office management activities such as supply ordering, filing systems, and organization of office space
  • Maintain confidentiality of sensitive information and adhere to organizational policies
  • Ability to learn and use a ticketing system to manage customer job tickets effectively
Qualifications
  • Proven experience in office administration or clerical roles with demonstrated organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with Quick Books Online and basic bookkeeping practices is preferred
  • Excellent computer literacy, including data entry, proofreading, and document management
  • Strong customer service skills with professional phone etiquette and communication abilities
  • Ability to manage multiple tasks efficiently with strong time management skills
  • Office experience involving calendar management, filing systems, and office management responsibilities is desirable
  • Ability to lift objects up to 50 pounds required
  • High school diploma or equivalent; additional administrative certifications are a plus
