Life-Science Innovations has a full‑time opportunity for a Office Administrator to join their team. This role supports the day‑to‑day operations of the organization, requiring strong organizational and administrative skills and the ability to manage confidential information discreetly in a fast‑paced environment. The Office Administrator oversees courier operations, supports multiple departments, and provides exceptional service while creating a welcoming experience for employees, applicants, vendors, and stakeholders.
Responsibilities- Manage front desk operations, including phones, visitors, mail distribution, and general office support.
- Respond to general inquiries from leadership and employees at all levels, providing a warm handoff to appropriate team members as needed.
- Oversee courier operations, company vehicle usage, visitor badges, and office service coordination.
- Provide administrative support across HR, Accounting, and IT departments.
- Maintain employee records, organizational documents, contact lists, and records‑retention systems.
- Support HR compliance processes, including I-9 audits, MVR reporting, and HR inbox management.
- Coordinate employee programs, company events, recognition initiatives, and office committees.
- Prepare reports, maintain accurate data entry, and assist with special projects using Microsoft Office Suite.
- Strong organizational, time‑management, and attention‑to‑detail skills.
- Excellent verbal, written, and interpersonal communication abilities.
- Proficient in Microsoft Office, including Excel and Word, with accurate data‑entry skills.
- Ability to maintain strict confidentiality and provide employee‑focused customer service.
- Self‑motivated, adaptable, and able to manage multiple priorities in a fast‑paced environment.
- Strong critical thinking, process management, and problem‑solving skills.
- Ability to follow procedures, take initiative, and collaborate across all organizational levels.
- 2+ years of administrative experience in a corporate office environment preferred.
- High School diploma or GED required; equivalent education and experience considered.
- Supervisory experience preferred.
