Life-Science Innovations has a full‑time opportunity for a Office Administrator to join their team. This role supports the day‑to‑day operations of the organization, requiring strong organizational and administrative skills and the ability to manage confidential information discreetly in a fast‑paced environment. The Office Administrator oversees courier operations, supports multiple departments, and provides exceptional service while creating a welcoming experience for employees, applicants, vendors, and stakeholders.

Responsibilities
  • Manage front desk operations, including phones, visitors, mail distribution, and general office support.
  • Respond to general inquiries from leadership and employees at all levels, providing a warm handoff to appropriate team members as needed.
  • Oversee courier operations, company vehicle usage, visitor badges, and office service coordination.
  • Provide administrative support across HR, Accounting, and IT departments.
  • Maintain employee records, organizational documents, contact lists, and records‑retention systems.
  • Support HR compliance processes, including I-9 audits, MVR reporting, and HR inbox management.
  • Coordinate employee programs, company events, recognition initiatives, and office committees.
  • Prepare reports, maintain accurate data entry, and assist with special projects using Microsoft Office Suite.
Ideal Candidate
  • Strong organizational, time‑management, and attention‑to‑detail skills.
  • Excellent verbal, written, and interpersonal communication abilities.
  • Proficient in Microsoft Office, including Excel and Word, with accurate data‑entry skills.
  • Ability to maintain strict confidentiality and provide employee‑focused customer service.
  • Self‑motivated, adaptable, and able to manage multiple priorities in a fast‑paced environment.
  • Strong critical thinking, process management, and problem‑solving skills.
  • Ability to follow procedures, take initiative, and collaborate across all organizational levels.
  • 2+ years of administrative experience in a corporate office environment preferred.
  • High School diploma or GED required; equivalent education and experience considered.
  • Supervisory experience preferred.
