The Payroll & Benefits Specialist is responsible for the accurate and timely processing of payroll and administration of employee benefits programs. This role ensures compliance with federal, state, and local regulations, maintains employee records, responds to payroll and benefits inquiries, and partners with Human Resources and Finance to support employee experience and organizational objectives.
Key Responsibilities Payroll Administration- Process weekly, biweekly, semimonthly, or monthly payroll accurately and on schedule.
- Review and audit payroll data, including timekeeping records, deductions, bonuses, commissions, and wage adjustments.
- Ensure compliance with applicable wage and hour laws, payroll tax regulations, and company policies.
- Maintain payroll records and employee data in HRIS and payroll systems.
- Prepare payroll reports for management, Finance, and external audits.
- Reconcile payroll accounts and resolve discrepancies promptly.
- Coordinate year-end payroll activities, including W-2 processing and tax reporting.
- Administer employee benefit programs, including medical, dental, vision, life insurance, disability, retirement plans, and wellness programs.
- Manage employee enrollments, status changes, life event updates, and terminations.
- Serve as the primary point of contact for employee benefits questions and issue resolution.
- Coordinate annual open enrollment activities and employee communications.
- Work with benefit providers, brokers, and vendors to ensure smooth program administration.
- Review and reconcile monthly benefit invoices.
- Maintain compliance with applicable benefits regulations and reporting requirements.
- Ensure compliance with federal, state, and local payroll and benefits regulations.
- Maintain confidentiality of employee compensation and benefits information.
- Assist with internal and external audits.
- Monitor changes in employment laws and recommend process updates as needed.
- Generate and analyze payroll and benefits reports to support decision-making and workforce planning.
- Respond to employee inquiries regarding pay, taxes, deductions, and benefit programs.
- Educate employees on available benefits and payroll-related procedures.
- Provide exceptional customer service while maintaining professionalism and confidentiality.
- Associate's or Bachelor's degree in Human Resources, Accounting, Business Administration, or a related field preferred.
- 3
-5 years of payroll and/or benefits administration experience. - Knowledge of payroll processing, employment taxes, and benefits administration.
- Experience with HRIS, payroll, and benefits management systems.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Strong analytical, organizational, and problem-solving skills.
- Excellent attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Certified Payroll Professional (CPP) certification.
- Professional in Human Resources (PHR), SHRM-CP, or similar certification.
- Experience supporting multi-state payroll operations.
- Familiarity with ADP, Workday, UKG, Paylocity, or similar systems.
