HR Payroll & Records Coordinator

The HR Payroll & Records Coordinator is responsible for the day-to-day administration of payroll, HRIS data management, and HR administrative duties. This position serves as the primary point of contact for payroll processing while ensuring accurate employee records, regulatory compliance, and exceptional customer service. Working closely with the HR Manager and VP of People & Culture, this role supports the employee lifecycle from hire through separation and contributes to a positive employee experience through timely communication, attention to detail, and responsive service.

The successful candidate is someone who enjoys serving employees and managers with professionalism and empathy, is highly organized and detail-oriented, can manage multiple deadlines with accuracy, takes ownership of payroll administration, maintains strict confidentiality, and builds positive working relationships across the organization.

Key Responsibilities

Payroll Administration

  • Process accurate biweekly payroll for all employees.
  • Audit payroll changes and ensure Personnel Action Forms (PAFs) are complete and approved.
  • Maintain payroll records and payroll-related HRIS data.
  • Coordinate payroll deductions for benefits, retirement, and taxes.
  • Resolve payroll discrepancies promptly and professionally.
  • Coordinate payroll benefit deductions and carrier feeds.

Administrative Support

  • Assist the HR department and other administrative offices, giving administrative support where needed.
  • Assist with reconciling benefit invoices and submitting for payment.
  • Administer leave documentation and track leave activity within the HRIS.
  • Schedule interviews and coordinate candidate communications during the EE recruiting process.
  • Assist with recruiting, pre-hire and onboarding activities and new employee orientation.
  • Support employee engagement initiatives and recognition programs.
  • Assist with HR employee communications and documents.
  • Assist with annual performance review administration.
  • Support special HR projects and continuous improvement initiatives.

HRIS & Employee Records

  • Process employee status changes, compensation updates, transfers, and promotions.
  • Maintain accurate employee personnel files and I-9 documentation.
  • Ensure HRIS data integrity.
  • Generate reports for ACA, EEO, OSHA, retirement plans, audits, and compliance.
  • Support HR reporting and data analysis.
  • Assist with compliance reporting requirements.
Qualifications & Skills
  • High school diploma required. Bachelor's degree in Human Resources, Business Administration, Accounting, or related field preferred.
  • 3+ years of HR experience with payroll and HRIS management.
  • Experience processing payroll using an HRIS/payroll system (Paycor preferred).
  • Working knowledge of FLSA, FMLA, ACA, COBRA, HIPAA, and applicable employment and compliance laws.
  • Strong knowledge of payroll compliance, payroll tax rules.
  • Strong Excel and Microsoft 365 skills.
  • Exceptional attention to detail and organizational skills.
  • Ability to maintain confidentiality required.
  • Excellent customer service and communication skills.

  • Travel by automobile or other transportation as needed
