Rothman Orthopaedics is looking for a Clinical Operations Specialist to work in a hybrid role, serving as both front desk staff and a Medical Assistant. The position requires travel to nearby Rothman locations, such as Blue Bell, Chalfont, Doylestown, or Bensalem, as needed.
Schedule:
Monday through Friday, 7:15 am–4:30 pm, with possible variation.
The Clinical Operations Specialist blends clinical and operational support to the office. Clinically, the COS may function as a Medical Assistant, Non‑Surgical Clinical Assistant, or any other applicable role. Operationally, the COS serves as a Front Desk Receptionist or Front Desk Therapy Receptionist. Responsibilities include greeting patients, checking them in, verifying insurance, obtaining referrals, coordinating appointments, and supporting the medical staff.

Excellence in patient satisfaction; compliance with scheduling, voicemails, emails, and clinical messages; timely pre‑certifications and authorizations; adherence to clinical policies, procedures, and documentation standards; accurate copay collection; efficient documentation of demographic and insurance information; and independent problem‑solving. Reliability and punctuality are essential.
Essential Duties- Greet patients and visitors in a prompt, courteous manner; manage flow from waiting room to exam room to discharge.
- Demonstrate commitment to service and quality patient care.
- Check patients in, verify and update demographic and insurance information, record arrival times, referral, and payment details.
- Address RCM Console and Ready‑to‑Bill errors daily to ensure timely claim submission.
- Schedule follow‑up appointments or liaison with ancillary departments such as physical therapy and MRI.
- Answer calls professionally, forward or transfer as needed, and handle correspondence within 24 hours.
- Assist patients with ambulatory difficulties.
- Process medical record requests and Disability/FMLA paperwork; take payment when necessary.
- Batch outstanding payments at shift end, balance accounts, complete paperwork, and report discrepancies to the office manager.
- Deescalate upset or irate patients and provide support to team members.
- Maintain workspace, stock supplies in the lobby, front desk, pod work spaces, and exam rooms.
- Prepare schedules by obtaining referrals, confirming coverage status, and checking for potential issues; reach out to patients before appointments when required.
- Attend meetings, participate in office activities, team‑building exercises, and special projects as needed.
- Clean and autoclave instruments using proper sterile technique.
- Record vitals and medical history; scan documents into the patient chart; request and upload reports and images from outside facilities.
- Pull, load, or import study data for physicians; prepare for injections and aspiration procedures; dispose of biohazardous waste; replace sharps containers.
- Assist patients with clothing, body preparation, and restock laundry.
- Complete pre‑certifications and authorizations for imaging studies and injectable medications.
- Apply or remove casts/splints; fabricate orthotic devices; fit, test, evaluate, and adjust them.
- Respond to email communications within an appropriate timeframe.
- Identify weekly schedule and changes published by the manager.
- Handle specimens, label them, and ensure they are sent to the appropriate lab.
- High School Diploma or GED.
- Active National Medical Assistant Certification preferred.
- Current CPR certification required.
- Minimum one year in a medical office environment.
- Knowledge of medical office procedures and terminology.
- Computer skills, including MS Office Suite.
- Experience with scheduling, billing systems, and EMR preferred.
- Basic medical assistant skills (phlebotomy, handling body fluid samples, sutures and staples removal, OSHA regulations) preferred.
Pay Range – $17.00/hr – $24.00/hr
