We are seeking a dedicated and highly dependable professional to join our client’s team in a role that prioritizes both personal and business support. This position requires someone who can build trust over time, with a primary focus on ensuring the family and team members receive exceptional care and support. The ideal candidate will embody a “family comes first” mentality, demonstrating flexibility to prioritize needs accordingly.
Beyond the day-to-day responsibilities, there will be opportunities to learn about the business, which has its own unique nuances, making this a dynamic and rewarding role for the right person.
- Oversee vehicle maintenance, including scheduling servicing, arranging car washes, refueling, and managing car services as needed.
- Facilitate personal and professional logistics, such as dry‑cleaning pickups/drop‑offs, prescription pickups, veterinarian visits, and meal delivery arrangements.
- Organize and confirm reservations for travel, dining, and other engagements, including seasonal reservations.
- Maintain a high level of organization and communication to ensure seamless operations.
- Provide transportation to and from all appointments, including to the office 2‑3 days per week.
- Manage online purchases, including gifts and other personal necessities. Organize and file all bills after payment.
- Coordinate and provide transportation for appointments in the city and suburbs.
- Assist with any other errands by providing reliable transportation.
- Coordinate hotel and flight reservations for out‑of‑town travel.
- Arrange car service reservations for out‑of‑town trips.
- Schedule and oversee vehicle maintenance, including servicing, fueling, and car washes.
- Pack and ship gift boxes for Backyard Sports.
- Prepare morning meal as part of the daily routine.
- Manage Fed Ex printing, shipping, and drop‑off tasks, including artwork.
- Oversee company car maintenance, including scheduling and managing service appointments.
- Deliver materials, such as cards, to designated vendors or partners.
- Assist with in‑office administrative tasks, including printing, scanning, and running errands.
- Liaise with and manage personal and office contractors.
- Reliable personal vehicle with a clean driving record and valid driver’s license.
- Trustworthy and discreet, with the ability to handle sensitive and confidential information.
- Strong organizational skills and attention to detail to manage multiple tasks efficiently.
- Excellent communication skills. Flexibility to adapt to changing schedules and priorities.
- Proactive and resourceful, with the ability to anticipate needs and take initiative.
- Proficiency in basic technology (email, scanning, printing, and scheduling software).
