We are looking for a dynamic Executive Assistant to provide high-level administrative and operational support to our senior leaders in the commercial organization. Key Responsibilities:- Act as a strategic partner for Sales Leadership, enabling effective operations for executives.
- Handle day-to-day activities for assigned executives, including complex calendar management and meeting prioritization across different time zones.
- Coordinate detailed travel itineraries, meeting logistics, and communications for both internal and external engagements.
- Collaborate with internal teams such as Marketing to organize meetings, broker events, and conferences effectively.
- Provide onsite support for commercial events, conferences, and leadership meetings as required.
- Prepare executive materials including presentations, Salesforce reports, and follow-up items to ensure seamless communication.
- Track deliverables from leadership meetings to ensure alignment with business priorities.
- Manage professional communication on behalf of executives, showcasing your excellent interpersonal skills.
- Assist in the compilation of proposals and presentations, working closely with business stakeholders.
- Process and complete expense reports in line with company policies and deadlines.
- Support special projects, managing timelines and deliverables for the commercial leadership team.
- Facilitate communication between internal departments and external partners, maintaining professionalism and confidentiality.
- Proactively identify scheduling conflicts and urgent matters while managing executive priorities.
- Handle confidential information with discretion and professionalism.
- Provide backup support to other administrative team members as needed.
- Carry out additional duties and special assignments as necessary.
- 5+ years of executive administrative support experience, ideally in Sales or Commercial Operations.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Familiarity with Concur for travel and expense reporting.
- Ability to manage multiple executive calendars and priorities in a fast-paced environment.
- Strong organizational skills with a keen eye for detail.
- Excellent verbal and written communication skills.
- Proven ability to maintain confidentiality and demonstrate sound judgment.
- High level of initiative and adaptability.
- Experience in project coordination, tracking deadlines, and follow-through on deliverables.
- Professional demeanor with a service-oriented mindset.
- Bachelor's degree preferred.
- Experience with Salesforce or other CRM systems is a plus.
We offer a competitive salary range of $68,000 to $78,000 annually, plus short-term incentives based on individual and business goals.
