Legal Office Service Specialist
Wilmington, DE (Onsite)
Contract Duration: 3-Month Contract (temp to perm)
M-F (9:00 AM - 6:00 PM)
Seeking a professional and detail-oriented Senior On-Site Services Specialist to support daily office operations in a fast-paced legal environment. This role includes hospitality services, mail and print center support, copy services, back-up reception duties, and general office support. Candidates must be comfortable handling confidential documents, meeting deadlines, and providing excellent customer service.
Responsibilities- Operate copy, scanning, binding, and print production equipment.
- Handle mail, shipping, receiving, fax distribution, and office supply management.
- Perform document scanning, file conversion, OCR processing, and electronic file management.
- Maintain conference rooms, visitor offices, coffee stations, and pantry areas.
- Provide back-up reception support, including answering phones and responding to emails.
- Monitor and troubleshoot copier equipment; coordinate service and repairs as needed.
- Deliver completed projects and materials to designated locations.
- Maintain service logs, inventory records, and billing information as required.
- Support meeting room setups, office moves, and light facility maintenance tasks.
- Ensure accuracy, quality control, and timely completion of projects, often under tight deadlines.
- Interact professionally with staff, clients, and executive-level personnel.
- High school diploma or GED required.
- 1 2 years of related professional experience required.
- Legal industry experience preferred; 2+ years highly desirable.
- Print production and copy center experience preferred.
- Strong customer service, communication, and organizational skills.
- Ability to work independently, prioritize tasks, and manage multiple projects.
- Strong attention to detail and problem-solving abilities.
- Professional telephone manner and appearance.
- Ability to work effectively in a team environment.
- Comfortable working in a fast-paced setting and meeting deadlines.
- Basic knowledge of shipping/receiving procedures and office equipment.
- Ability to lift up to 50 pounds; assistance available for heavier items.
- Positive attitude and ability to make sound decisions based on business needs and policies.
