The Office Administrative Coordinator will play an integral role in supporting multiple business functions across the firm, including Marketing, Human Resources, Finance, Attorney Professional Development, and Information Technology support coordination. This position provides administrative and operational support to both the Wilmington, Delaware and Philadelphia, Pennsylvania offices
, requiring collaboration across locations to ensure consistent, efficient office operations. The ideal candidate is proactive, detail‑oriented, and thrives in a fast‑paced professional environment where strong communication, organization, and the ability to manage competing priorities are essential.

Key Responsibilities
  • Provide administrative and operational support for the Wilmington and Philadelphia offices
    , ensuring seamless coordination between both locations.
  • Travel periodically between the Wilmington and Philadelphia offices, as needed, to support business operations, meetings, onboarding, training, and special projects.
  • Support day‑to‑day office operations and administrative functions across multiple departments.
  • Coordinate meetings, calendars, scheduling, travel arrangements, and conference logistics for attorneys and firm leadership across both offices.
  • Provide administrative assistance related to recruiting, firm operation initiatives, IT, marketing, billing and employee engagement activities.
  • Support marketing and business development initiatives, including client events, presentations, sponsor ships, and internal communications.
  • Assist with finance‑related administrative tasks, expense reporting, invoice coordination, and office vendor support.
  • Serve as a liaison between attorneys, administrative departments, and firm leadership to facilitate communication and operational consistency across both offices.
  • Maintain legal and administrative records with accuracy, discretion, and strict confidentiality.
  • Draft, proofread, and distribute professional correspondence, reports, and firm communications.
  • Support special projects, office initiatives, and operational priorities as assigned by firm leadership.
Qualifications
  • Bachelor's degree required; concentration in Legal Studies, Business Administration, Communications, or related discipline strongly preferred.
  • 1–3 years of professional experience supporting office operations or legal administration.
  • Prior experience within a law firm, legal department, or litigation environment strongly preferred.
  • Ability and willingness to travel between the firm's Wilmington and Philadelphia offices as business needs require.
