Registration Assistant Job Description

Registration and Communications Manager

Summary

Under the supervision of the Registration and Communications Manager, the Registration Assistant will assist with managing the operation of the registration, record keeping, and administrative processes for all Education initiatives and programs.

Essential Functions
  • Uphold the highest quality of the guest experience through equitable, respectful interactions that meet the unique needs of each guest and team member
  • Complete the registration process of all Museum initiatives and programs
  • Be conversant in the Museum’s mission, exhibits, programs and events to enhance the guest experience
  • Execute opportunities to share information with visitors including providing impromptu tours, pop-up science programs, and other informal education initiatives
  • Assist with the logistics of programs and compliance with safety practices when needed
  • When covering the front desk, responsible for regular walk-throughs of all public areas to ensure that they are safe, functioning, presentable, welcoming to visitors and resolve problems
  • When covering the front desk, complete incident reports for visitor or staff injury/illness and contact emergency services if needed
  • When covering the front desk, responsible for Museum’s visitor reception. All appointments, telephone calls and deliveries are to be delegated correctly, respectfully and timely
  • When needed, facilitate school tour check-in process and provide guest service information to tour groups
  • Collaborate with staff in the registration process of all programs
  • Monitor groups’ activities to ensure compliance with Museum contracts and safety practices
  • Assist in planning, preparing and implementing programs and events when needed
  • Work with pertinent staff to prepare monthly part-time Guest Experience Associates and Assistants schedules to provide adequate, cost-efficient staffing
  • Participate in relevant training and meetings
Business Operations
  • Assist with processing payments for all education programs, event reservations and others as needed
  • Assist the Education leadership team with attendance record keeping
  • Assist Business Operations with follow-up on open invoices and/or other areas that are needed
  • Assist with maintaining Education grant spreadsheets to allow for accurate reporting to grant agencies
  • When covering the front desk, assist with obtaining and recording daily attendance numbers for general admission, programs, events, rentals, etc. Work with Business Operations to ensure proper and timely documentation
  • Ensure that cash handling, transaction and record keeping procedures are followed
Minimum Qualifications
  • High school diploma or the equivalent required. College degree preferred
  • Ability to problem solve, generate and analyze POS system information
  • Two years of customer service or guest services experience, preferably in a museum setting
  • Knowledge of or interest in natural history, science and/or museums
  • Proficient in use of Microsoft Office software products, specifically Excel
  • Excellent communications skills, including ability to relate to different age groups, education levels and abilities
  • Ability to stand and/or walk 75%-80% of each Guest Experience Operations shift
  • Ability to lift and move objects weighing up to 20 lbs.
  • First aid, CPR and AED certified or willingness to become certified
Schedule

This is a Part-time position defined by the Museum as 20 hours per week, 5 – 4-hour days. The schedule is Sunday – Thursday for training and then moving to Monday-Friday or Tuesday-Saturday.
