Team Support Coordinator
Location:
Wilmington, MA 01887 Pay Rate: $25.00 – $30.00 per hour
Work Schedule:
Monday – Friday, 8:00 am – 5:00 pm (Fully Onsite)
Overview of the Job The Team Support Coordinator provides high-level administrative support to the Vice President of Technology and multiple remote leaders within the technology organization. This role is responsible for coordinating and organizing key projects, initiatives, and daily operations, including data collection and synthesis, presentation preparation, communication, planning, meeting facilitation, travel support, order coordination, vendor management, and scheduling. This is a 9-month contract role with the possibility of conversion to a permanent position.
Job Specifications Team Support Responsibilities
• Facilitate the scheduling, planning, and coordination of team meetings, projects, and activities.
• Support software requests, approvals, and procurement for technology teams.
• Coordinate purchases and orders for activities, supplies, and project needs.
Vendor and Purchasing Support
• Manage new vendor setup, including NDAs, COIs, and the vendor addition process.
• Perform purchase requisition entry for indirect facility purchases.
• Conduct vendor follow-ups, invoice processing, and blocked invoice resolution (including CWS and MR ).
• Manage goods receipts.
Facility Coordination
• Act as the on-site vendor liaison and receptionist.
• Coordinate visitor access, including badge requests and event planning.
• Support shipping and receiving processes.
• Serve as the security liaison.
• Support the remote Senior Facility Manager with day-to-day site operations, including maintenance coordination and service contracts.
• Inventory and maintain supplies, including kitchen, bathroom, and general office items.
• Maintain common areas and provide general facility and shop floor coordination and physical organization.
Required
Skills and Qualifications
• Proficiency in Excel (Pivot Tables, Graphs, etc.), Outlook, Teams, and PowerPoint.
• Previous experience with SAP.
• Strong organizational skills with the ability to multitask and provide proactive follow-up on outstanding items.
• Demonstrated internal and external vendor/customer relations skills.
• Ability to work independently.
• Must be able to safely lift items up to 35 lbs.
• High School Diploma required;
Associate's or Bachelor's degree in general business preferred.
• 2–4 years of general office management or multifaceted administrative assistant experience is a plus.
• Strong alpha-numeric data entry skills are a plus.
• A purchasing background is preferred.
• A Massachusetts notary license is ideal but not required.
