Sales Administrative Assistant
Location: Wilmington, MA (Hybrid: 4 days in office / 1 day remote after successful completion of training)
Reports To: Inside Sales Manager
Salary
: $60-70K
Are you highly organized, customer-focused, and energized by a fast-paced sales environment? We are seeking a Sales Administrative Assistant to play a key role in supporting our sales team and delivering exceptional service to customers. This position is ideal for someone who enjoys managing multiple priorities, collaborating with cross-functional teams, and keeping critical sales processes running smoothly.
What You’ll DoAs a Sales Administrative Assistant, you will serve as a central point of contact for customers, sales representatives, and internal departments by:
- Managing a high volume of customer emails related to quotations, order status updates, spare parts, and equipment inquiries.
- Preparing and submitting spare parts quotations using SAP S/4
HANA
. - Maintaining and updating key sales tracking tools, including the Equipment Quote Log and Open Order Report in Microsoft Excel.
- Supporting sales representatives with the preparation of equipment quotations as needed.
- Coordinating and managing sales-related correspondence with customers and internal stakeholders.
- Answering and directing incoming calls through the main telephone line.
- Assisting the Inside Sales Manager and other team members with administrative and sales support activities.
- Participating in weekly sales meetings to review open issues, track progress, and identify opportunities for continuous improvement.
- Taking on additional responsibilities and special projects as assigned.
Required Qualifications
- 3–5 years of experience in a sales administration, sales support, or related role.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Excel and other Microsoft Office applications.
- Ability to work independently while also contributing effectively within a collaborative, global team environment.
Preferred Qualifications
- Experience with SAP S/4
HANA or other ERP systems. - Experience in a high-tech machinery or manufacturing environment.
- Spanish language skills.
