Position Overview

We are seeking a detail-oriented, proactive executive assistant to support our team and help maintain a professional, organized office environment. This role is critical to the smooth operation of our daily activities and client service experience.

Key Responsibilities Schedule & Calendar Management
  • Coordinate and manage internal and external meeting calendars for advisors.
  • Schedule client appointments, conference calls, and virtual meetings.
  • Track and confirm all appointments to optimize time and reduce conflicts.
Front Desk & Client Reception
  • Serve as the first point of contact for clients and visitors.
  • Greet guests professionally and escort to conference room
  • Answer incoming calls and route messages appropriately.
Administrative Support
  • Create, organize, and maintain electronic and physical files.
  • Prepare client correspondence and administrative documents.
  • Support office organization, including supply inventory and communal spaces.
  • Assist with general administrative tasks to support advisors and team members, to include some asset movement and basic account service.
Qualifications
  • Strong organizational and prioritization skills
  • Excellent communication and interpersonal abilities
  • Professional demeanor and client-focused attitude
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Experience using CRM is preferred, specifically Redtail
  • Prior experience in administrative support or scheduling preferred
  • 401(k) Retirement Plan with company match (eligible after 1 year of service)
