Position OverviewWe are seeking a detail-oriented, proactive executive assistant to support our team and help maintain a professional, organized office environment. This role is critical to the smooth operation of our daily activities and client service experience.
Key Responsibilities Schedule & Calendar Management- Coordinate and manage internal and external meeting calendars for advisors.
- Schedule client appointments, conference calls, and virtual meetings.
- Track and confirm all appointments to optimize time and reduce conflicts.
- Serve as the first point of contact for clients and visitors.
- Greet guests professionally and escort to conference room
- Answer incoming calls and route messages appropriately.
- Create, organize, and maintain electronic and physical files.
- Prepare client correspondence and administrative documents.
- Support office organization, including supply inventory and communal spaces.
- Assist with general administrative tasks to support advisors and team members, to include some asset movement and basic account service.
- Strong organizational and prioritization skills
- Excellent communication and interpersonal abilities
- Professional demeanor and client-focused attitude
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Experience using CRM is preferred, specifically Redtail
- Prior experience in administrative support or scheduling preferred
- 401(k) Retirement Plan with company match (eligible after 1 year of service)
