Coastal Horizons Office Assistant - Trauma Informed Care Setting
The Office Assistant performs a variety of administrative and front desk support functions while helping maintain a welcoming, safe and supportive environment for clients, staff and visitors. This position requires the ability to interact with individuals who may have experienced trauma, substance use disorders or behavioral health challenges using principles of trauma informed care, including empathy, confidentiality, cultural sensitivity and professionalism.

Monday-Saturday rotating Saturdays, 40 hours/week, 6am-3pm. Training for 2 weeks, 8am-5pm.
Position Highlights- Provide front desk coverage and greet clients in a respectful, supportive manner.
- Answer phones and assist callers with professionalism and discretion.
- Conduct appointment reminder calls.
- Schedule appointments for therapists, counselors and other staff.
- Check in new clients and review required paperwork.
- Maintain accurate filing of client documentation.
- Collect and post client payments; assist with third-party billing as assigned.
- Maintain strict confidentiality of all client information.
- Pick up and distribute incoming mail.
- Print SAIOP certificates.
- Place orders for office supplies.
- Enroll patients in services for the expanded dosing program.
- Support daily operations of the New Hanover office and perform other duties as assigned.
- This position is subject to OSHA regulations regarding blood borne pathogens due to potential exposure to bodily fluids.
- High school diploma or equivalent; business coursework preferred.
- Minimum of two (2) years of clerical or administrative experience, or equivalent combination of education and experience.
- Experience with third-party medical billing preferred.
- Ability to work a flexible schedule.
- Strong organizational, communication and computer skills.
- Ability to interact professionally and compassionately with diverse populations in a trauma-informed environment.
