ABOUT THIS ROLE

The Program Coordinator is a key operational role supporting both the Ablr Accessibility and Workforce Development programs. This position manages administrative processes, invoicing, scheduling, documentation, and communication across teams, clients, and program participants. The Coordinator ensures smooth operations and organized workflows that enable successful program delivery.

LOCATION AND SCHEDULE

Monday-Friday 7:30 AM - 4 PM

Some Travel:
Up to 15%

KEY RESPONSIBILITIES
  • Manage scheduling, invoicing, contracting, and administrative workflows.
  • Maintain organized documentation, data entry, and tracking systems across programs.
  • Support program staff with logistics, onboarding, calendar management, and communication.
  • Serve as a point of contact for participants, counselors, and partner organizations with routine questions or updates.
  • Assist with candidate onboarding and documentation collection for Workforce Development programs.
  • Track project timelines, deliverables, and follow-up tasks for internal teams.
  • Prepare internal reports, summaries, and updates as needed.
  • Use Microsoft Dynamics, Microsoft Teams/SharePoint, and other accounting tools for time tracking, reporting, and invoicing.
  • Maintain all appropriate documentation in accordance with client contract agreements.
  • Ensure that contract standards and requirements are met through conducting regular audits.
  • Ability to solve problems and create solutions.
  • Monitor and document program candidate progress.
  • Collect training feedback following each session and maintain proper documentation in accordance with customer contract requirements.
  • Assist with onboarding program candidates by providing information on workforce development program opportunities.
  • Support the completion of vendor applications, RFPs, and other types of new business documentation.
  • May attend and coordinate meetings, webinars, or conferences on behalf of the team.
  • Assist with ensuring that content is accessible and compliant for all people.
  • Other duties and projects as assigned.
QUALIFICATIONS
  • Bachelor’s degree in Business Administration, Nonprofit Management, Office Management, Accounting, Human Resources, Communications, or a related field (Preferred). Or equivalent work experience.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint, Dynamics, and Teams)
  • Accounting (invoicing, accounts receivable/payable, end of month reports, reconciliation)
  • Strong administrative, organizational, and time-management skills.
  • Ability to manage multiple tasks and prioritize effectively, while maintaining attention to detail.
  • Experience in program coordination, customer service, or operations preferred.
  • Comfort working with databases, spreadsheets, and CRM systems.
  • Experience with grant writing or formal contract proposal preparation and submission.
